OverviewThe role of anExport Documentation professional is integral to the smoothfunctioning of a companys international trade operations. They areresponsible for preparing examining verifying and maintainingvarious documents related to the export of goods. This role iscrucial in ensuring compliance with international trade regulationsand maintaining accurate records for efficient logisticsoperations.Keyresponsibilities
  • Prepare and reviewexport documents such as commercial invoices packing lists andcertificates of origin.
  • Ensure documentationcomplies with international trade regulations and specific countryrequirements.
  • Communicate with internal andexternal stakeholders to obtain necessary documentation and resolvediscrepancies.
  • Coordinate with logistics andshipping departments to schedule and trackshipments.
  • Maintain accurate records of exportdocumentation and relatedcorrespondences.
  • Provide guidance on exportcompliance and documentation requirements to internalteams.
  • Stay updated with changes in exportregulations and trade policies.
  • Collaboratewith customs brokers and freight forwarders for smooth customsclearance.
  • Handle export documentation relatedto letters of credit and other financialinstruments.
  • Resolve any issues ordiscrepancies in export documentation to prevent delays inshipments.
  • Participate in internal and externalaudits related to export documentation andcompliance.
  • Contribute to process improvementsand efficiency enhancements in export documentationprocedures.
  • Assist in the management of exportlicenses and permits.
  • Provide support in theresolution of exportrelated customer inquiries andconcerns.
  • Ensure confidentiality and securityof sensitive exportdocumentation.
Requiredqualifications
  • Bachelors degree inInternational Business Logistics Supply Chain Management or relatedfield.
  • Proven experience working in exportdocumentation or international tradecompliance.
  • Indepth knowledge of exportregulations INCO terms and international shippingprocedures.
  • Familiarity with trade compliancesoftware and document managementsystems.
  • Strong attention to detail andaccuracy in handling confidential exportdocuments.
  • Excellent communication andinterpersonal skills for effective collaboration with internal andexternal stakeholders.
  • Ability to work underpressure and prioritize tasks to meet shippingdeadlines.
  • Proficiency in using MS Officeapplications and enterprise resource planning (ERP)systems.
  • Understanding of import/exportdocumentation requirements for different countries andregions.
  • Capability to adapt to changing exportcompliance regulations and industry bestpractices.
  • Analytical mindset to identifydiscrepancies and resolve documentationissues.
  • Certification in Export Compliance orInternational Trade is preferred.
  • Knowledge ofdocumentation requirements for hazardous materials controlled goodsor special categories is a plus.
  • Understandingof export financing and payment terms isadvantageous.
  • Ability to maintainconfidentiality and handle sensitive informationsecurely.
