What this job involves:

The Assistant Site Transition Manager supports the site transition process by assisting in the planning, coordination, and execution of transitioning commercial real estate sites from project completion to operational state. This role involves working closely with the Site Transition Manager, project teams, and various stakeholders to ensure a seamless handover and successful transition. The Assistant Site Transition Manager leverages their project management skills and knowledge of commercial real estate operations to facilitate a smooth and efficient transition.

Key Responsibilities:

Transition Planning and Coordination:

Assist in the development and implementation of site transition plans, considering timelines, budgets, resources, and stakeholder requirements. Support the coordination and collaboration with cross-functional teams, including facility management, operations, IT, HR, and other relevant departments, to ensure a smooth transition process. Track and monitor project milestones, deadlines, and deliverables to ensure timely completion of transition activities.

Site Takeover Support:

Work closely with the project team to understand the specific requirements and nuances of the site being transitioned. Assist in conducting site inspections to identify any outstanding issues or deficiencies that need to be addressed before operation. Collaborate with the project team to ensure the completion of all punch list items and necessary repairs or adjustments.

Stakeholder Management:

Support the communication of transition plans and strategies to stakeholders, ensuring a clear understanding of roles, responsibilities, and timelines. Assist in addressing employee and tenant concerns during the transition period, providing necessary training, support, and guidance. Act as a point of contact for stakeholders, addressing any questions or issues related to the site transition process.

Documentation and Reporting:

Assist in maintaining accurate and up-to-date documentation related to the site transition, including project plans, contracts, agreements, and vendor information. Prepare regular reports on the progress of transition activities, highlighting any issues, risks, or delays. Collaborate with the Site Transition Manager to analyse data and provide recommendations for process improvements.

Quality Assurance:

Assist in conducting quality control inspections and audits to ensure compliance with industry standards, regulations, and company policies. Identify and address any deficiencies or gaps in the transition process, working with stakeholders to implement corrective actions.

Qualifications:

Bachelor’s degree in business administration, Facilities Management, Real Estate, or a related field. Previous experience in project coordination, facilities management, or similar roles within the commercial real estate industry. Understanding of site transition processes, project management principles, and commercial real estate operations. Excellent organizational and multitasking abilities, with the ability to prioritize tasks and meet deadlines. Strong attention to detail, analytical, and problem-solving skills. Effective communication skills, with the ability to collaborate with stakeholders at various levels. Proficient in using project management tools and software.
