Overview

The Finance Operations Director oversees and manages all aspects of the accounts receivable function, including billing and invoicing, to ensure operational accuracy and efficiency. This pivotal role includes strategic planning, staff management, and close collaboration with other departments to optimize cash flow and mitigate financial risks. Acting as an extension of our US leadership team, the Director partners closely to make real-time decisions aligned with leadership expectations. Additionally, this role drives efficiency initiatives and leads the team's transformation with the goal of achieving our KPIs.

Responsibilities

Leadership and Management Lead and manage the accounts receivable team, providing guidance, training, and performance evaluations. Develop and implement departmental policies, procedures, and best practices to ensure efficient operations and compliance with regulations. Set and manage team performance to key performance indicators (KPIs) to ensure high levels of productivity and accuracy. Financial Oversight Oversee the timely and accurate processing of invoices, credit memos, and payments. Monitor and manage the accounts receivable ledger, ensuring the integrity and accuracy of financial records. Analyze key performance indicators (KPIs) to assess departmental performance and implement improvements as needed. Billing and Invoicing Management Ensure accurate and timely generation and distribution of customer invoices. Review and approve invoicing processes to ensure compliance with company policies and contractual terms. Implement and maintain an efficient billing system to streamline the invoicing process and reduce errors. Address and resolve billing discrepancies in collaboration with relevant departments. Cash Flow Management Collaborate with the OTC Director to develop cash flow forecasts and strategies to optimize the collection process. Identify and address potential issues in the receivables process to ensure timely payments and minimize overdue accounts. Credit and Collections Establish and enforce credit policies to assess customer creditworthiness and manage credit limits. Oversee the collections process, working with customers to resolve payment issues and negotiating payment plans when necessary. Monitor aging reports and work closely with direct reports to prioritize and escalate collections efforts as needed. Analyze client payment trends and proactively address potential collection issues. Reporting and Analysis Prepare and present regular reports and insights on accounts receivable performance metrics. Conduct in-depth analysis of receivables data to identify trends, risks, and opportunities for improvement. Collaboration and Communication Manage relationships with other leadership in country. Work closely with Sales teams and other departments to ensure alignment on billing and collections processes. Serve as the primary point of contact for internal and external audits related to accounts receivable. Collaborate with clients to address billing inquiries, resolve disputes, and negotiate payment terms. Compliance and Risk Management: Stay informed about industry regulations, client billing guidelines, and legal requirements. Ensure compliance with relevant laws and regulations in billing and collections activities. Mitigate financial risk by implementing and maintaining effective risk management practices.

Qualifications

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field; MBA or CPA equivalent preferred. Minimum of 7-10 years of experience in accounts receivable management, with at least 3-5 years in a leadership role. Experience in the legal industry is a plus. Strong knowledge of accounting principles, financial analysis, billing, and cash flow management. Excellent leadership and team building and management skills. Proven ability to develop and implement policies, procedures, and best practices. Exceptional analytical, problem-solving, and decision-making abilities. Proficiency in financial software and ERP systems; experience with NetSuite is a plus. Strong communication and interpersonal skills. Detail-oriented with a high level of accuracy and integrity.
