A Back Office Executive is responsible for administrative, operational, and financial support to ensure the smooth functioning of a company's "behind-the-scenes" activities. Key duties include data entry and management, record-keeping, customer service, financial processing (like invoicing and billing), scheduling, and supporting other departments. The role is critical for organizational efficiency and seamless operations.
Key responsibilities:-
- Administrative and Data Management:
- Performing data entry and managing company databases and records.
- Answering phones, managing correspondence, and scheduling appointments.
- Organizing and maintaining both physical and electronic files.
- Operational and Departmental Support:
- Coordinating with other departments to ensure smooth workflow.
- Providing support to the sales and front-office teams.
- Processing orders, managing project timetables, and ensuring supplies are delivered
- Customer and Client Relations:
- Handling customer inquiries and resolving complaints.
- Communicating with clients regarding financial matters.
- Reporting and Analysis:
- Generating reports, presentations, and correspondence.
- Analyzing data and providing insights to management.
Qualifications and skills:-
- Education: A Master's degree in Business Administration or a related field is often preferred.
- Experience: Prior experience in an administrative or clerical role is beneficial.
- Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and other office software is essential.
