Key responsibilities include managing databases, processing invoices and purchase orders, organizing files, coordinating with other departments, and assisting with human resources and IT support. The primary goal is to ensure the smooth, efficient, and behind-the-scenes functioning of the company. Core responsibilities
  • Data and record management:
  • Gathering, compiling, and organizing company and client data.
  • Updating and maintaining databases with accurate information. Managing physical and digital files, ensuring they are organized and accessible.
  • Financial administration: Processing invoices, bills, and purchase orders. Creating and issuing receipts and checks. Assisting with bookkeeping, preparing bank deposits, and performing audits.
  • Administrative support: Performing general data entry and clerical tasks. Scheduling appointments and managing calendars.
  • Coordinating with other departments to ensure smooth workflow.
  • Placing orders for office supplies and managing inventory. Human resources and compliance: Assisting with the recruitment and onboarding process.
  • Maintaining employee records and assisting with timekeeping. Ensuring staff compliance with company policies.
  • Office and IT coordination: Ensuring office machines are maintained. Communicating with IT for technical support. Greeting visitors and directing them to the appropriate offices.
  • Key skills
  • Strong organizational and multitasking abilities. Proficiency in Microsoft Office Suite or similar software.
  • Excellent communication skills, both written and verbal. Attention to detail and strong diligence.
  • Basic knowledge of accounting and financial software. Ability to work both independently and as part of a team. Familiarity with data security and digital platforms is increasingly important.
