Job Summary:

The Sales Coordinator will act as a bridge between the sales team, institutional customers, and other stakeholders. The role involves preparing invoices, managing customer interactions, and updating sales and stock data. The coordinator ensures smooth operations, payment follow-ups, and accurate reporting.

Key Responsibilities:1. Customer Coordination and Communication:

  • Handle communication with institutional, outstation, and NCR customers for orders and payments.

  • Maintain regular follow-ups with customers through calls and emails.

  • Visit institutional customers as needed to strengthen relationships and resolve issues.

  • Act as a point of contact for customer inquiries and complaints, ensuring prompt resolution.

  • Invoicing and Payment Management:

  • Generate Proforma Invoices and share them with institutional and outstation customers.

  • Follow up on payments and ensure timely reconciliation with the accounts team.

  • Coordinate with Sales Officers (SO) and clients to manage orders and pending payments.

  • Sales Reporting and Updates:

  • Prepare and update the Institution Sales Report regularly.

  • Maintain and update secondary sales data for regions like Lucknow, Rajasthan, and Varanasi in Google Sheets.

  • Update outstation sales data in Google Sheets and share reports in relevant groups.

  • Stock Management:

  • Update and manage stock data in Google Sheets to ensure accurate inventory records.

  • Coordination with Sales Teams:

  • Work closely with the Delhi (NCR) sales team for order fulfilment and customer engagement.

  • Support outstation sales teams with regular updates and coordination.

  • Administrative and Operational Tasks:

  • Reconcile bank accounts for accurate financial records.

  • Ensure all invoices (institutional, outstation, and NCR) are checked and verified daily.

  • Assist in operational tasks to ensure smooth sales processes.

Key Skills and Qualifications:

  • **Education:** Bachelor's degree in Business Administration, Commerce, or a related field.

  • **Experience:** 2+ years in sales coordination, customer support, or a similar role.

  • **Skills:**

- Proficiency in Google Sheets, MS Excel, and other reporting tools.

- Excellent verbal and written communication skills.

- Strong organisational and multitasking abilities.

- Knowledge of sales and invoicing processes.

- Basic understanding of financial reconciliation.
