Job Summary: We are seeking a friendly, organized, and efficient Receptionist to be the first point of contact at our school. The Receptionist will handle a variety of administrative and clerical duties to support the smooth operation of the front office, assist visitors, and provide information to students, parents, and staff. Key Responsibilities:
- Front Desk Management:
- Greet and assist visitors, parents, students, and staff in a courteous and professional manner.
- Answer and direct phone calls to the appropriate personnel, taking messages when necessary.
- Administrative Support:
- Manage school records, files, and basic data entry tasks.
- Assist with tasks like photocopying, mailing, and document distribution.
- Visitor and Student Management:
- Monitor visitor sign-in and sign-out procedures for security.
- Ensure students are guided to their classrooms or other designated areas as needed.
- Communication Handling:
- Communicate school announcements and relay messages to teachers and staff.
- Coordinate communication with parents and guardians as directed by the administration.
- Schedule Coordination:
- Assist in scheduling appointments, parent-teacher meetings, and school tours.
- Manage school calendar events and notify staff and visitors of any changes.
- Supplies and Inventory Management:
- Maintain an inventory of office supplies and assist with ordering when necessary.
- Ensure the reception area is tidy and well-organized.
- First Aid and Student Assistance:
- Provide minor first aid to students if required and assist with notifying parents in case of emergencies.
- Maintain confidentiality in handling student information and records.
- Familiarity with school management software is an advantage.
- Customer service-oriented and able to handle inquiries politely.
- Friendly, approachable, and capable of working with children, parents, and staff.
Qualifications Qualifications and Skills Required:
- High school diploma or equivalent; additional certifications or a diploma in office management is a plus.
- Prior experience in a receptionist or administrative role, preferably in a school setting.
- Strong communication and interpersonal skills.
- Proficiency in basic computer applications (MS Office, email).
- Ability to multitask and manage time effectively.
