ABOUT THE ROLE AND OUR TEAM

The Knot WorldWide is looking for a smart, results-oriented Accounts Payable Associate to support us with our Global AP Operations business. The person should be well-rounded and willing to jump in to get the job done wherever needed. The role will entail working on financial planning, managing accounts for the company, processing journal entries for invoice processing, looking at taxation policies, and staying compliant. Overall, he/she will also be responsible for accounts, costing, finance & audits of the unit, and handling the finance work at the unit level. The person will work with the Shared Services team for his/her scope of work and will report to the Accounts Payable Assistant Manager.

ESSENTIAL RESPONSIBILITIES

We are seeking a highly skilled and detail-oriented Associate – Accounts Payable to manage and optimize critical aspects of accounts payable operations. The ideal candidate will possess in-depth knowledge of Generally Accepted Accounting Principles (GAAP), exceptional organizational skills, and the ability to collaborate effectively with cross-functional teams. This role is pivotal in ensuring the accuracy, compliance, and efficiency of global AP processes.

Accounts Payable Operations

  • Process invoices accurately and efficiently using Coupa and NetSuite, ensuring compliance with VAT and multi-currency operations.
  • Ensure proper coding of invoices to facilitate accurate month-end account closing.
  • Manage vendor payments, ensuring timely processing and adherence to payment schedules.
  • Collaborate with stakeholders to resolve invoice discrepancies, exceptions, and payment issues.
  • Verify vendor accounts by reconciling monthly statements and addressing outstanding credits.
  • Support timely and accurate completion of required reports to other offices Globally,

Compliance and Financial Accuracy

  • Ensure all financial data is accurate and complete, meeting internal and external compliance standards.
  • Review and verify expense reports, travel card transactions, and employee reimbursements for accuracy and policy adherence.
  • Maintain up-to-date documentation for audit readiness and support auditors with requested information..
  • Assistance with downloading tax invoices from various tax portals across different countries.

Process Improvement

  • Identify opportunities for process optimization and assist in the implementation of automation tools, such as Invoice Smash.
  • Collaborate with internal teams (Procurement, Legal, FP&A) to streamline AP workflows.
  • Proactively suggest improvements to reduce errors and enhance operational efficiency.

Reporting and Data Analysis

  • Prepare and deliver timely and accurate AP reports for management review.
  • Analyze financial data to identify trends, anomalies, or cost-saving opportunities.

SUCCESSFUL CANDIDATES HAVE

  • Bachelor's degree in Accounting, Finance, or Management.
  • 3+ years of experience in accounts payable, purchasing, or financial systems operations.
  • Advanced knowledge of Coupa, NetSuite, and other financial systems.
  • Proficiency in Excel (pivot tables, macros, and data analysis) and G-Suite.
  • Strong understanding of GAAP standards, VAT regulations, and multi-currency operations.
  • Fluency in English; both verbal and written is a must.
