is seeking a highly organized and proactive
Project Coordinator
to manage client projects from start to finish. In this key role, you will be the central link connecting clients, our development team, and management, ensuring every project is executed with clarity, efficiency, and transparency.

You will be responsible for handling all client communications, translating business requirements into actionable developer tasks, maintaining comprehensive project documentation, and helping to standardize our processes as we grow.

Key Responsibilities

Client Onboarding & Relationship Management:

  • Act as the primary point of contact for assigned clients.
  • Lead onboarding sessions to gather requirements, align expectations, and define workflows.
  • Provide regular, proactive progress updates.
  • Manage post-delivery communication, including support, issue resolution, and future upgrades.
  • Maintain strong client relationships to ensure satisfaction and long-term success.

Project Coordination & Delivery:

  • Translate client requirements into clear and actionable tasks for our backend, frontend, and cloud development teams.
  • Assign, track, and follow up on all deliverables using project management tools like Bitrix24, Jira, or ClickUp.
  • Conduct weekly alignment meetings with clients and internal teams.
  • Proactively identify and escalate potential delays or risks to management.

Documentation & Process Improvement:

  • Maintain structured project documentation, including requirements, SOWs, change requests, and handover notes.
  • Adhere to and support the development of standard operating procedures (SOPs) for onboarding, delivery, and support.
  • Keep accurate records of project credentials, workflows, and API mappings.

Support & Issue Resolution:

  • Coordinate with developers to resolve client issues within agreed-upon SLAs (Service Level Agreements).
  • Track open issues, monitor response times, and provide clients with proactive updates.

Metrics & Reporting:

  • Prepare weekly progress reports for management.
  • Track key metrics such as SLA adherence, delivery timelines, and client satisfaction.
  • Help analyze post-project performance to support continuous improvement initiatives.

Required Skills & Competencies

  • 3–5 years of experience in project coordination, client servicing, or delivery support within an IT or software company.
  • Strong verbal and written communication skills in both English and Hindi.
  • Excellent organizational skills with the ability to manage multiple clients and projects concurrently.
  • A basic technical understanding of web applications, APIs, and CRMs.
  • Experience with Bitrix24 is a plus.
  • A calm and proactive approach to solving client escalations and working under pressure.

Familiarity with the Following Tools is Preferred

  • Project Management:
    Bitrix24, Jira, ClickUp, Trello
  • Documentation:
    Confluence, Notion, Google Docs/Sheets
  • Communication:
    Slack, Zoom, Microsoft Teams

Success Metrics (KPIs) for this Role

  • 100% of onboarding requirements are documented before developer handover.
  • 90%+ of all tasks are logged and tracked in our project management tool.
  • Consistent weekly updates are shared with clients.
  • On-time delivery for 90%+ of project milestones.
  • Positive client satisfaction feedback and support for project renewals.
