Job Responsibilities Admin Officer (Factory)
General Administration
- Oversee day-to-day administrative operations at the factory premises.
- Manage housekeeping, security, canteen, and employee transport facilities.
- Ensure statutory compliance for factory administration in coordination with HR/Compliance teams.
- Supervise vendor management for services like housekeeping, pest control, stationery, and other supplies.
Employee Support Services
- Oversee canteen operations, ensuring hygiene, quality, and cost control.
- Manage employee welfare facilities such as uniforms, lockers, and staff transport.
- Provide administrative support during employee onboarding and exit processes.
Security & Compliance
- Supervise factory security arrangements and access control.
- Liaise with statutory authorities during inspections and audits.
- Maintain documentation as per compliance.
Cost & Vendor Management
- Negotiate and manage vendor contracts and service agreements.
- Monitor administrative expenses and identify cost optimization opportunities.
- Process vendor bills and ensure timely payments.
MIS Reporting & Coordination
- Prepare and maintain monthly MIS reports on administration, expenses, compliance, and vendor performance.
- Strong proficiency in MS Excel is essential for data analysis, cost tracking, pivot tables, and report generation.
- Generate dashboards and presentations for management review.
- Liaise with government departments, local authorities, and internal departments for smooth functioning.
Key Skills Required:
- Strong command over MS Excel (Pivot Tables, VLOOKUP, Data Analysis, Charts, MIS Reporting).
- Good communication and vendor management skills.
- Knowledge of statutory compliance related to Factories Act and labour laws.
- Ability to handle multiple tasks and coordinate with cross-functional teams.
