Key Responsibilities1. Calendar & Communication Management

  • Manage and optimize the CEO's daily schedule, calls, meetings, and travel.
  • Coordinate with international clients and vendors across time zones.
  • Draft and respond to routine emails/messages on behalf of the CEO.
  • Prepare meeting briefs and take notes during key calls.

  • Internal Coordination

  • Act as the first point of contact for the CEO for designers, sales teams, production, and lead-gen teams.

  • Monitor task progress, timelines, and follow-ups using project management tools (ClickUp/Asana/Sheets).
  • Track design iterations, project updates, and client requirements.

  • Vendor Coordination

  • Communicate with vendors for quotations, timelines, documentation, and follow-ups.

  • Prepare comparison sheets and escalate only when a decision is needed from the CEO.

  • Documentation & Admin

  • Maintain organized digital files of proposals, contracts, NDAs, and project documents.

  • Assist in travel planning for international trips (bookings, itineraries, logistics).
  • Prepare weekly progress reports for all ongoing projects.

  • Operational Excellence

  • Maintain an "Open Loops" tracker of all pending tasks, ownership, and deadlines.

  • Send daily and weekly summaries to the CEO.
  • Proactively identify workflow gaps and suggest improvements.

What We're Looking For

  • 3–7 years of experience as an Executive Assistant / EA to Director / Operations Coordinator.
  • Strong communication skills (English — verbal and written).
  • Highly organized, with strong follow-up abilities and attention to detail.
  • Comfortable managing multiple stakeholders at once.
  • Professional, reliable, and able to maintain confidentiality.
  • Proficiency with Google Workspace, ClickUp/Asana, Sheets, and basic documentation.
  • Ability to handle pressure, deadlines, and global coordination.
