Job Overview
We are looking for a proactive and detail-oriented
Business Operations Associate
to support smooth inter-departmental operations. The ideal candidate will act as a central communication bridge across teams, ensure accurate documentation, track performances and KRAs, and assist management with planning and execution. This role is key to maintaining structured workflows and ensuring timely follow-through across teams.
Key Responsibilities
A. Inter-Department Coordination
- Coordinate with Operations, Sales, Marketing, Accounts, Admin, and HR teams.
- Ensure alignment on daily deliverables and deadlines.
- Follow up on pending tasks and escalate when necessary.
- Maintain weekly and monthly coordination trackers.
B. Documentation & Reporting
- Record and circulate Minutes of Meetings (MoM).
- Track follow-up actions and ensure timely closure.
- Prepare weekly performance dashboards for management review.
- Maintain operational documentation and communication records.
C. Performance Tracking & Management Support
- Collect monthly KRA updates from all departments.
- Maintain MIS dashboards and performance tracking sheets.
- Support management in hiring discussions and strategic planning.
- Coordinate internal training sessions and team development activities.
- Prepare summaries and reports for management reviews.
D. CEO Schedule & Communication Support
- Prepare daily, weekly, and monthly schedules for the CEO.
- Act as a single point of contact for CEO-related coordination.
- Communicate priorities, follow-ups, and updates to teams.
- Keep schedules accurate and aligned with CEO availability.
- Maintain high levels of confidentiality and professionalism.
E. Bridge Between Management & Teams
- Facilitate clear communication between teams and management.
- Communicate expectations and deliverables effectively.
- Highlight operational challenges, delays, and concerns proactively.
Key Skills Required
Technical Skills
- Strong proficiency in MS Excel & Google Sheets
- Excellent documentation, MoM writing, and reporting skills
- Good understanding of business operations
- Ability to work with SOPs, trackers, and dashboards
- Skilled in meeting scheduling and coordination (Zoom/Teams)
Soft Skills
- Excellent communication and interpersonal skills
- Strong ownership mindset
- Effective coordination and follow-up ability
- Highly organized, structured, and detail-oriented
- Ability to work across multiple departments
Knowledge Requirements
- Understanding of workflows in Operations, Sales, Marketing, Accounts, HR
- Familiarity with reporting formats, escalation frameworks, MoM structures
- Basic knowledge of KRA/KPI and performance review cycles
- Executive coordination and calendar management
- Offboarding documentation and HR process basics
