The Back Office Executive plays a critical role in supporting front-line operations by managing documentation, coordinating administrative tasks, ensuring timely follow-ups, and delivering excellent customer service. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
- Key Responsibilities:
- Documentation Management
- Prepare, review, and maintain business documents, agreements, and reports.
- Ensure accurate filing and digital archiving of records.
- Coordinate with internal teams for document approvals and updates.
- Customer Service Support
- Respond to customer inquiries via email, phone, or chat.
- Resolve basic issues and escalate complex cases to relevant departments.
- Maintain customer satisfaction through timely and professional communication.
- Follow-Up Coordination
- Track pending tasks, payments, and documentation.
- Follow up with clients, vendors, and internal teams to ensure timely completion.
- Maintain logs and trackers for accountability.
- Administrative Management
- Handle day-to-day office operations including scheduling, inventory, and supplies.
- Support HR and payroll processes as needed.
- Assist in organizing meetings, travel plans, and company events.
- Operational Support
- Collaborate with sales, procurement, and logistics teams to ensure smooth workflow.
- Generate reports and summaries for management review.
- Monitor compliance with internal policies and external regulations.
Required Skills & Expertise:
- Strong proficiency in MS Office (Word, Excel)
- Excellent written and verbal communication
- Ability to manage multiple tasks with precision
- Customer-centric mindset with problem-solving ability
- Experience in handling confidential documents and data
- Familiarity with CRM or Tally Prime systems is a plus
