About the Role

We are looking for a proactive and detail-oriented Operations Manager Modern Trade to manage day-to-day operational tasks, ensuring seamless coordination between Sales, CFAs, Accounts, and Key Accounts. The ideal candidate will have strong analytical, coordination, and communication skills with hands-on experience in FMCG / OTC Modern Trade operations.

Key Responsibilities

1. Order Billing & PO Coordination

  • Manage order billing for 11 Modern Trade accounts (124+ customer codes).
  • Schedule PO appointments and ensure timely PO processing for 200+ customer codes.

2. CFA Coordination (13 CFAs)

  • Handle PO appointments (online/offline) and placement in SAP.
  • Verify all PI/PO details including rates, GST, and case sizes.
  • Coordinate between CFA and Accounts for smooth stock delivery and resolve delivery delays, mismatches, and address/article corrections.

3. Stock Management & Fill Rate

  • Track CFA-wise stock availability as per monthly indent.
  • Ensure 100% fill rate and timely stock replenishment.

4. RTV & Payment Follow-up

  • Coordinate RTV approvals and knock-offs as per TOT.
  • Maintain invoice-wise payment tracking; resolve deductions and overdue payments.
  • Share payment updates with CFAs for HLI account reconciliation.

5. Account Reconciliation

  • Provide account-wise reconciliation data to the HLI Accounts team.

6. Monthly Target Tracking

  • Track account-wise monthly targets, visibility initiatives, and NPI performance.
  • Follow up for business numbers and activity completion.

7. Online Account Portal Management

  • Manage online portals like Reliance Retail, Metro C&C, Ratnadeep, Trent (Star Bazaar) for debit/credit notes, PO corrections, and payment tracking.

8. New Account & Article Registration

  • Complete documentation and forms for new account setup and payment registration.
  • Handle NPI registrations across all key accounts.

9. Scheme & Budget Management

  • Cross-check quarterly scheme uploads in SAP.
  • Manage CFA/account-wise and internal order budget allocations in SAP.

10. Sales Coordination

  • Share daily/monthly MIS reports (TGT vs. Achievement).
  • Highlight gaps in PO receipts or missing SKUs.
  • Collect primary, secondary, and offtake data from sales teams and DBs.
  • Follow up on store visits, product execution photos, and NPI displays.

11. SO/SRN Management

  • Track and raise SO/SRN for debit note knock-offs related to visibility, NPIs, and incentives.
  • Ensure timely submission and knock-off in accounts.

12. ISR Team Coordination

  • Supervise 18 ISRs across D-Mart and other hyperstores.
  • Monitor daily tasks, store visits, reporting, and product execution compliance.

Key Skills Required

  • Strong knowledge of Modern Trade operations
  • SAP proficiency (PO, billing, budget, scheme uploads)
  • Excellent coordination and communication skills
  • Analytical mindset with attention to detail
  • Proficiency in Excel and MIS reporting
  • Ability to manage multiple stakeholders (Sales, CFA, Accounts, Retail Chains)

Qualification

  • Graduate (Any Discipline); MBA preferred
