Job Title: Transport Executive / Transport Admin

Department: Administration / Transport

Location: Marathahalli, Bangalore

Reporting To: Transport Manager / Admin Head

Job Purpose:

The Transport Executive will be responsible for managing employee transportation operations, ensuring timely pickups and drops, vendor coordination, compliance with safety and cost controls, and delivering a seamless travel experience for employees.

Key Responsibilities:

  • Transport Operations:
  • Coordinate daily employee transportation (pick-up & drop schedules) across shifts.
  • Ensure adherence to routing, schedules, and service-level agreements (SLAs).
  • Monitor vehicle tracking systems and address real-time deviations or escalations.
  • Vendor Management:
  • Coordinate with transport vendors for vehicle availability and timely service.
  • Verify and process trip sheets, invoices, and ensure cost optimization.
  • Escalate vendor non-compliance issues to management.
  • Employee Safety & Compliance:
  • Ensure compliance with company transport policies and government regulations (RTO norms, driver background verification).
  • Maintain records of driver documents, vehicle fitness, and insurance.
  • Address employee transport grievances and resolve issues promptly.
  • MIS & Reporting:
  • Maintain and share daily/weekly/monthly transport MIS reports (vehicle utilization, cost, absenteeism, etc.).
  • Monitor budget utilization and highlight variances.
  • Shift Management:
  • Work with HR and Operations to plan transport rosters for different shifts.
  • Ensure smooth transport during peak hours, late-night shifts, and emergencies.

Key Skills & Competencies:

  • Strong knowledge of employee transport operations (preferably in BPO/ITES industry).
  • Good communication and negotiation skills for vendor and employee coordination.
  • Basic understanding of GPS tracking, route planning, and transport software.
  • Problem-solving ability and quick decision-making during escalations.
  • Proficient in MS Excel & report preparation.

Qualifications & Experience:

  • Graduate / Diploma in Administration or related field.
  • 2–4 years of experience in transport operations (preferably in a large setup with multiple shifts).
  • Experience in vendor handling and transport compliance is preferred.

Working Conditions:

  • Rotational shifts (including night shifts, if required).
  • Available for emergency support and escalations beyond regular work hours.
