We are looking for a highly organized and proactive Business Operations Executive to work closely with the Director and support day-to-day business operations. This role is critical in ensuring operational efficiency, accurate reporting, effective coordination across teams, and timely follow-through on business priorities.

The ideal candidate will be a strong communicator, detail-oriented, and confident in managing multiple responsibilities while taking ownership of tasks and driving them to completion.

Key Responsibilities

Business & Operations Support

  • Run and analyse performance and operational reports using tools such as AutoTask
  • Monitor staff logged hours, identify variances, and coordinate discussions to address shortfalls
  • Support sales order processing and ensure accurate documentation and follow-ups
  • Coordinate contract, license, and service renewals to ensure continuity and compliance
  • Organise repairs, maintenance activities, and follow up on vendor quotes

Executive & Scheduling Support

  • Manage and plan the Director's work schedule, meetings, and priorities to ensure effective time utilization
  • Handle inbox management, ensuring timely responses, prioritisation, and follow-ups
  • Shadow and work closely with the Director, tracking actions and ensuring accountability on agreed outcomes

Customer & Reporting Support

  • Assist in preparing and delivering monthly customer-facing reports
  • Arrange and coordinate monthly site visits, account reviews, and client updates
  • Act as a coordination point between internal teams and external stakeholders

Project & Coordination Support

  • Support project management activities in collaboration with the Director
  • Track tasks, timelines, and deliverables across ongoing initiatives
  • Take ownership of assigned responsibilities and use initiative to proactively resolve issues

Requirements

Required Skills & Experience

  • Excellent written & verbal communication skills in English
  • Prior experience in a similar operations, executive support, or coordination role is highly preferred
  • Strong organisational and planning skills
  • Comfortable working with reporting tools, spreadsheets, and business systems
  • Ability to work independently while collaborating effectively with teams
  • Smart, solution-oriented mindset with the ability to anticipate needs and plan ahead
