We are looking for a highly organized and proactive Business Operations Executive to work closely with the Director and support day-to-day business operations. This role is critical in ensuring operational efficiency, accurate reporting, effective coordination across teams, and timely follow-through on business priorities.
The ideal candidate will be a strong communicator, detail-oriented, and confident in managing multiple responsibilities while taking ownership of tasks and driving them to completion.
Key Responsibilities
Business & Operations Support
- Run and analyse performance and operational reports using tools such as AutoTask
- Monitor staff logged hours, identify variances, and coordinate discussions to address shortfalls
- Support sales order processing and ensure accurate documentation and follow-ups
- Coordinate contract, license, and service renewals to ensure continuity and compliance
- Organise repairs, maintenance activities, and follow up on vendor quotes
Executive & Scheduling Support
- Manage and plan the Director's work schedule, meetings, and priorities to ensure effective time utilization
- Handle inbox management, ensuring timely responses, prioritisation, and follow-ups
- Shadow and work closely with the Director, tracking actions and ensuring accountability on agreed outcomes
Customer & Reporting Support
- Assist in preparing and delivering monthly customer-facing reports
- Arrange and coordinate monthly site visits, account reviews, and client updates
- Act as a coordination point between internal teams and external stakeholders
Project & Coordination Support
- Support project management activities in collaboration with the Director
- Track tasks, timelines, and deliverables across ongoing initiatives
- Take ownership of assigned responsibilities and use initiative to proactively resolve issues

- Ability to plan, organise, and manage multiple priorities efficiently
- Strong follow-through skills with attention to detail
- Professional conduct when interacting with clients, vendors, and internal teams
- Confidence in working closely with senior leadership and handling sensitive information
Requirements
Required Skills & Experience
- Excellent written & verbal communication skills in English
- Prior experience in a similar operations, executive support, or coordination role is highly preferred
- Strong organisational and planning skills
- Comfortable working with reporting tools, spreadsheets, and business systems
- Ability to work independently while collaborating effectively with teams
- Smart, solution-oriented mindset with the ability to anticipate needs and plan ahead
