Purpose of the role
The Severance Lead Representative is a critical role within the HRSS team, responsible for the accurate and timely administration of severance packages for employees in the United States and Canada. This role utilizes a dedicated severance tool to create compliant and equitable packages, ensuring a smooth and respectful transition for departing employees. The Severance Lead Representative collaborates closely with Employee Relations, HR Business Partners (HRBPs), and Legal to ensure alignment and adherence to company policies and legal requirements.
KEY ACCOUNTABILITIES
Severance Package Administration:
- Act as the single point of contact for all severance administration across the US and Canada.
- Maintain strict timelines for the submission and creation of employee severance materials.
- Utilizes the severance tool to efficiently and accurately generate severance packages based on company policy, tenure, and other relevant factors.
- Ensures all severance calculations are compliant with federal and state / province laws and other applicable regulations.
- Reviews release agreements for accuracy and completeness, working with Legal as needed.
- Manages the distribution of severance documentation to requestor, ensuring clear communication and understanding of the terms.
- Tracks the status of severance agreements, ensuring timely return and processing.
- Coordinates with Payroll to ensure accurate and timely severance payments.
- Maintains detailed and organized records of all severance-related activities and documentation.
- Troubleshoots issues related to severance calculations or payments, working with relevant departments to resolve them.
- Ensure that all reference materials are reviewed and updated as needed.
- Responsible for monitoring and maintaining all signed documentation from DocuSign, ensuring employee tasks are completed.
Collaboration and Stakeholder Management
- Collaborates with HRBPs to provide guidance and support on severance package creation related matters.
- Communicates effectively with all stakeholders, providing updates on the status of severance packages and addressing any questions or concerns.
- Participates in meetings and training sessions to stay up to date on severance policies and procedures.
- Provides feedback on the severance tool to improve its functionality and usability.
Projects and Process Improvements:
- Proactively identifies opportunities to improve the efficiency and accuracy of the severance process.
- Support additional severance initiatives as needed.
MINIMUM QUALIFICATIONS
- Education – Full time graduation from an accredited university (Mandatory- Note: This is the minimum education criteria which cannot be altered)
- Minimum years of related experience required: 3+ years of experience in HR operations, compensation, or benefits administration.
PREFERRED QUALIFICATIONS
- Preferred years of related experience: 5+ years of experience in severance administration or related field
Specific Job Experience or Skills Needed
- Experience using HRIS systems (e.g., Workday) and severance tools.
- Excellent analytical and problem-solving skills.
- Strong attention to detail and accuracy.
- High on Responsiveness and agile in effectively closing the loops
- Excellent communication and interpersonal skills.
- Exhibits a continuous improvement mindset; experience with process improvement tools & methodologies preferred
- Displays flexibility and learning agility
- Ability to work independently and as part of a team.
- Ability to handle confidential information with discretion.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Experience working with Legal and Employee Relations departments.
