Position Summary
:

Seeking an exceptionally proactive and highly motivated secretary to support senior leadership in a dynamic, demanding environment. This role is not for the faint of heart: expect a whirlwind of constantly shifting priorities, tight deadlines, and a level of precision that's nothing less than exquisite.

Core Responsibilities

  • Masterfully manage an ever-changing calendar, anticipate needs, and coordinate meetings, travel, and events before they're even requested.
  • Field calls, emails, and messages with poise—serve as the gatekeeper to the executive, prioritizing ruthlessly and handling confidential information discreetly.
  • Prepare reports, presentations, agendas, and materials to perfection—no detail is too small to escape your attention.
  • Facilitate office operations: order supplies, greet VIP clients, coordinate with vendors, and ensure the workspace runs flawlessly.
  • Proactively solve problems—foresee issues, present solutions, and never let the phrase "That's not my job" cross your mind.
  • Serve as the calm, stylish center in a storm of last-minute changes, urgent requests, and high-profile guests.


Required Skills and Qualities

  • At least 2 years in a high-stakes, support, or assistant role—experience in fashion, media, or creative industries is a plus but not required.
  • Lightning-fast organization, expert prioritization, and an Olympian ability to multi-task under pressure.
  • Strong written and verbal communication skills; diplomatic, assertive, and always polished.
  • Fierce attention to detail, a memory for names and faces, and total discretion with executives' personal and professional matters.
  • Proficiency with office technology and willingness to learn new tools at a moment's notice.
