Job purpose

The Proofreader (Proof Writer) ensures all written, designed, and programmed materials meet the highest standards of accuracy, consistency, and compliance before client submission or publication.

Duties and responsibilities

  • Proofread and fact-check medical and scientific documents (print and digital materials) including slide decks, websites, newsletters, posters, manuscripts, abstracts, and promotional materials such as e-mailers, banners, brochures, infographics, etc.
  • Ensure consistency in grammar, punctuation, style, and terminology according to brand, journal, or client guidelines (e.g., AMA Manual for referencing).
  • Verify accuracy of data, figures, references, and citations against source materials.
  • Check layout proofs for typographical and formatting errors before final submission or publication.
  • Maintain version control and track document changes through proofreading and review cycles.
  • Collaborate with cross-functional teams (medical writers, editors, designers, and project managers) to ensure editorial quality and compliance with deadlines.
  • Uphold client confidentiality and adhere to medical and ethical communication standards.

Experience

  • 3-6 years of professional experience in proofreading and content quality review
  • Prior experience in a medical communications agency or pharma marketing environment would be ideal.
  • Proficiency in MS Word, PowerPoint, and Adobe Acrobat Pro.
  • Working knowledge of Figma for layout checks and feedback.
  • Familiarity with Adobe Creative Suite (InDesign, Illustrator, Photoshop) preferred.
  • Experience in Veeva Vault / PromoMats / Workfront / Ziflow for review workflows is a plus.

Qualifications

  • Graduates/ postgraduates in English, Communications or Journalism
  • Exposure to proofreading in the field of medical communications would be an added advantage
