Job Description
RESPONSIBILITIES:
Oversee smooth functioning of administration team – reception, secretarial, stationery management
Ensure budgets of stationery etc is adhered to.
Monitoring Mails and update accordingly
Travel Management
Ticket Booking and Reschedule
Check with the timings with who is traveling
Take the options and cost accordingly.
Book ticket and web checking and handover the printouts.
Visa Processing
Check with the travel date to plan accordingly
Book Tickets, Travel Insurance
Collect all the required documents and send it to TOT
Hotel Booking
Check with the dates and number to nights of staying
Check with the availability at the hotel and email them with all the details to block booking.
Cab Arrangements
After ticket booking will inform the travel agent by email with all the necessary details to make a pickup arrangement at airport.Education/Experience
Subscriptions/renewals
Check on the renewal dates or remainders to update accounts team on the same.
 
Update Travel checklist
Update excel on the details of travel as it will be useful for billing clarity.
Update on flight details, cost and purpose
Deliver trainings to new and existing staff – uberall, net docs, inductions etc
Timesheet management
Procurement system- budget, costing, approval, order placed, payment of printing, housekeeping supplies and inventory, IT related etc
Systems implementation to improve work flow
Supervision of office environment and cleanliness and of the building
Supervision of IT
Management of AMC's
Overall responsibility for organizing documentation for tenders
Coordination between different teams and offices
Maintaining office environment and arranging necessary repairs
Liase with facility vendors including housekeeping, catering and security services
