Role Overview

The Car Rental Supervisor is responsible for overseeing daily rental operations, managing the fleet, coordinating with drivers, ensuring customer satisfaction, and maintaining operational efficiency. The role requires strong leadership, communication skills, and the ability to handle time-sensitive tasks in a fast-paced environment.

Key Responsibilities

1. Operations & Fleet Management

  • Oversee the daily deployment and scheduling of vehicles for rentals and corporate clients.
  • Monitor vehicle availability, condition, and readiness.
  • Ensure timely pickup and drop services as per customer requirements.
  • Coordinate with the maintenance team for regular servicing and repairs.
  • Maintain accurate records of vehicle usage, mileage, fuel, and maintenance.

2. Driver Coordination

  • Assign duties and schedules to drivers on a daily/weekly basis.
  • Ensure drivers follow company protocols, grooming standards, and safety norms.
  • Handle driver grievances, attendance, and discipline.

3. Customer Service

  • Assist customers with bookings, queries, and complaint resolution.
  • Ensure smooth handling of corporate clients and VIP bookings.
  • Maintain high standards of service quality to enhance customer satisfaction.

4. Documentation & Reporting

  • Maintain rental agreements, trip sheets, fuel logs, and billing details.
  • Ensure compliance with permits, insurance, and other statutory requirements.
  • Prepare daily/weekly/monthly operational reports.

5. Cost & Revenue Management

  • Monitor fuel usage, vehicle utilization, and minimize idle time.
  • Support the team in quoting rentals, packages, and long-term deployments.
  • Ensure cost-effective operations and prevent revenue leakages.

6. Team Leadership

  • Supervise the operations team and drivers.
  • Conduct briefings, training, and performance reviews.
  • Support management in process improvements and policy implementation.

Required Skills

  • Strong communication and coordination skills.
  • Ability to manage drivers and handle operational challenges.
  • Knowledge of car rental operations, GPS tracking, route planning, and fleet software (preferred).
  • Problem-solving and customer service orientation.
  • Basic computer skills: MS Excel, WhatsApp-based coordination, email handling.

Qualifications

  • Graduate or Diploma in any field (Preferred: Logistics/Transport Management).
  • 2–5 years of experience in car rental, transport operations, or fleet supervision.
  • Experience handling corporate clients is an added advantage.

Job Type: Full-time
