Job Description: Operations Manager (Geotechnical Projects)

Position Summary

Centre for Advanced Engineering is seeking an experienced Operations Manager to streamline and oversee all aspects of project execution, task management, and billing operations.

The ideal candidate will act as a bridge between management and technical teams — ensuring work is properly assigned, progress is tracked, and deadlines are consistently met. The role also includes implementing and maintaining a structured project management system (such as Jira or Zoho Projects) to bring transparency and accountability across all ongoing projects.

Key Responsibilities

1. Project & Task Management

  • Oversee day-to-day progress of all ongoing geotechnical and laboratory projects.
  • Assign, prioritize, and monitor tasks to ensure timely completion and quality outcomes.
  • Track individual and team performance, identify delays, and ensure accountability.
  • Conduct short daily check-ins or weekly progress reviews to keep work on schedule.

2. Process & System Implementation

  • Set up and manage a project management platform (Jira or Zoho Projects) for task tracking and reporting.
  • Define clear workflows for assigning, updating, and closing tasks.
  • Train team members on basic usage during onboarding and ensure consistent adoption.

3. Billing & Documentation

  • Coordinate with project and finance teams to prepare, verify, and submit invoices on schedule.
  • Track pending payments and maintain records of billing-related documentation.
  • Ensure that project completion reports and client deliverables are properly documented.

4. Reporting & Communication

  • Generate regular reports on project status, team productivity, and billing progress.
  • Provide clear updates to management on any project delays, dependencies, or operational issues.
  • Maintain organized records of work logs, project correspondence, and performance data.

5. Leadership & Oversight

  • Ensure discipline, productivity, and ownership within the team.
  • Act as a central coordinator between field engineers, lab personnel, and office staff.
  • Foster a professional, results-oriented work environment where targets and deadlines are met consistently.

Qualifications & Skills

  • Bachelor's degree or diploma in Management, Operations, or a related discipline.
  • 3–5 years of experience in operations, project coordination, or team management, preferably in an engineering or service-based organization.
  • Strong understanding of task tracking, scheduling, and performance monitoring.
  • Familiarity with Jira or Zoho Projects (or willingness to implement and manage them).
  • Excellent organizational and communication skills.
  • Ability to enforce accountability and drive consistent progress without micromanagement.
