Prepare and maintain clear landlord–tenant work lists (Excel & WhatsApp). Upload all documents to Google Drive.

  • Work Division:

Categorize tasks into Pre-Possession & Post-Possession stages. Keep formats updated and accessible.

  • Communication & Group Management:

Create/manage WhatsApp groups with correct naming format and brand logo. Post welcome messages or introductions.

  • Drawings & Approvals:

Follow up for working drawings (PDF + AutoCAD). Sequence: Email → WhatsApp → Call. Save in Google Drive.

  • Site Review & Visits:

Visit site after drawings received. Review drawings on-site for practical clarity. Plan weekly routes for ongoing visits.

  • Work Posting & Coordination:

Share pre-possession work lists in group, request start/finish dates, and collect vendor contacts.

  • Daily Updates & Timeline Tracking:

Post daily updates (completed/ongoing/pending works with timelines) with photos/videos. Monitor progress vs timelines. Increase visits for urgent handovers if required.

  • Handover Planning:

Give 10 days' advance notice via group + email. Ensure committed handover date is met.

  • Post-Possession Monitoring:

Track and expedite post-possession works to ensure deadlines are met.

  • Problem Resolution & Escalation:

Post issues with solutions (solution-oriented approach). Arrange con-calls for drawing or vendor issues. Add unresolved items to pending list.

  • Priority Tasks:

Ensure Fire NOC, Power Load, Occupancy & Completion Certificates are completed at least 1 month before store opening.

  • Vendor & Team Support:

Guide vendors/project team on complex issues. Provide reminders for faster completion. Suggest improvements to management.

  • Management Communication:

Share queries via WhatsApp (text/picture/video) or call directly for urgent matters.
