About the Role

We are seeking a
smart, disciplined, and proactive Executive Assistant (EA)
to directly support the CEO in managing both
business operations
and
personal administrative tasks
.

This role requires a high level of professionalism, confidentiality, attention to detail, and the ability to manage multiple priorities simultaneously.

The EA will act as the
communication bridge
between internal departments, vendors, clients, and external stakeholders ensuring that all operational and personal commitments are executed efficiently.


Key Responsibilities

A. CEO Office Support

  • Manage daily calendar, appointments, travel, and meetings for the CEO.
  • Draft, review, and format professional correspondence (emails, letters, and documents).
  • Maintain and update reports, trackers, and presentations using Excel and PowerPoint.
  • Prepare and circulate meeting notes, track action points, and follow up until closure.
  • Coordinate with vendors, clients, and internal teams on daily business matters.
  • Handle confidential business documents and sensitive information with utmost discretion.

B. Office Coordination

  • Supervise attendance, office supplies, and petty cash reporting.
  • Ensure smooth communication between departments and management.
  • Liaise with Zoho / HR / Accounts for timely submission of reports and approvals.
  • Support documentation, invoice tracking, and follow-up with vendors.

C. Personal & Lifestyle Management

  • Manage personal travel, bookings, and documentation for the CEO/family.
  • Oversee household admin, event planning, and personal tasks as delegated.
  • Handle confidential personal matters and maintain complete trustworthiness.

Qualifications

  • Proven experience as an
    Executive Assistant
    or similar role.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficient in
    Microsoft Office Suite (Word, Excel, PowerPoint)
    and
    Google Workspace
    .
  • Ability to handle pressure, tight deadlines, and shifting priorities effectively.
  • Discretion, professionalism, and confidentiality are
    crucial
    .
  • Self-starter with a proactive attitude and solution-oriented mindset.


Education and Experience

  • Bachelor's degree
    in Business Administration, Commerce, or related field.
  • Graduation from any
    Secretarial College
    is a big plus.
  • 2–5 years of relevant experience
    in executive assistance, coordination, or administrative roles preferred.


Role Expectations

  • 6-day working schedule (Mon–Sat).
  • Work closely with CEO and cross-functional teams.
  • Flexibility for extended hours when required for urgent matters.
  • Handle both professional and personal assignments with equal diligence.
