Job Summary:
We are seeking a detail-oriented and proactive Export Sales Coordinator
to support the international sales team in day-to-day operations. The ideal candidate will be responsible for handling overseas customer communication, preparing sales documentation, coordinating with internal departments, tracking shipments, assisting in sales reporting, and ensuring timely order fulfillment and payment collection.
Key Responsibilities
Sales Coordination & Customer Communication
- Coordinate with the Export Sales Team for daily operations and ensure smooth communication flow.
- Follow up with international customers for new inquiries and confirmed orders.
- Handle overseas inquiries, send quotations, and provide necessary information to customers.
- Prepare and send Proforma Invoices, Purchase Orders, Internal Orders, and Checklists.
- Regularly follow up with overseas clients on offers and quotations to secure orders.
- Attend to overseas customer calls and resolve queries in coordination with relevant departments.
Order & Dispatch Management
- Coordinate with factory and logistics team to ensure timely production and shipment of goods.
- Arrange for sample preparation and dispatch as per customer requirements.
- Manage local purchase orders for export-related materials and follow up for timely dispatch.
- Coordinate with CHA (Custom House Agents) for updated freight costs and shipment arrangements.
Documentation & Reporting
- Prepare Quotations, Offers, Proforma Invoices, Packing Instructions, and Sales Orders.
- Maintain and update sales records, pending orders, and monthly MIS reports in the system.
- Follow up with customers for outstanding payments and manage payment collection process.
- Draft professional emails, letters, and handle client/supplier communications.
Cross-Functional Coordination
- Work closely with the R&D and Technical teams to resolve product-related queries from international clients.
- Coordinate with the Inspection Agency, Logistics, and Factory teams for timely and accurate shipment handling.
- Send lab dip samples and shipment samples to buyers and follow up for approvals.
- Assist Team Leader in various administrative and operational functions.
- Allocate after-sales service requests and coordinate with service engineers for closure.
ISO & CRM Implementation
- Assist in ISO Audit processes, ensuring all documentation and processes meet audit requirements.
- Support implementation and usage of CRM tools to improve sales tracking, forecasting, and customer account management.
Required Skills & Qualifications
- Graduate in Business Administration / International Trade / Commerce or relevant field.
- 2–5 years of experience in export sales coordination or international business operations.
- Excellent written and verbal communication skills in English.
- Strong organizational, multitasking, and follow-up skills.
- Proficiency in MS Office (Excel, Word, Outlook); knowledge of ERP/CRM systems preferred.
- Understanding of export documentation, logistics, and international trade processes.
