Job Description

The role shall be that of a Tender Executive (Techno Commercial Department) and he shall assist the Tendering Manager(s)/ Project Manager(s) in the Techno Commercial department for the smooth execution of all tendering-related work undertaken by the Company, Vandhana International Pvt. Ltd. (VIPL). As part of your Job requirements, you will be required to work on an end-to-end tendering process in the Railway market space of track maintenance equipment and machinery. The company may entrust you with additional job responsibilities from time to time.

Some of the roles and responsibilities will include, but will not be limited to the following:

Role & responsibilities

  • Identify relevant tenders through portals and client communications.
  • Study tender documents, scope of work, technical requirements, and commercial conditions.
  • Prepare and compile tender documents, including technical and financial bids.
  • Coordinate with internal departments to gather required data, certifications, and approvals.
  • Ensure timely submission of tenders and adherence to all compliance requirements.
  • Maintain records of submitted tenders, correspondence, and bid status.
  • Handle pre-bid queries, clarifications, and communication with clients or authorities.
  • Track tender results, debriefings, and maintain a database of ongoing and upcoming tenders.
  • Support management with pricing sheets, cost comparison, and documentation as required.
  • Assist in vendor registrations, empanelments, and updating tender portals.

Preferred candidate profile

  1. Strong understanding of procurement and tendering processes, including EU procurement regulations.
  2. Excellent research, analysis, and evaluation skills to identify and assess potential tender opportunities.
  3. Effective communication and negotiation skills to engage with stakeholders, suppliers, and clients.
  4. Ability to work under pressure and meet tight deadlines to manage multiple tenders simultaneously.
  5. Strong organisational and time management skills to prioritise tasks and manage workload effectively.
  6. Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
  7. Familiarity with procurement software and systems, such as Procurify or other similar tools.
  8. Strong analytical and problem-solving skills to identify and mitigate potential risks.
  9. Ability to work independently and as part of a team to achieve common goals.
