We are looking for a Workflow Specialist who knows how to turn complexity (100 concurrent projects) into simplicity using Smartsheet as their toolkit of choice. If you love designing clean, scalable systems that help engineers and innovators collaborate better, faster, and smarter, this is the role for you. It's about engineering how we engineer, designing the operational frameworks that power everything from optical payloads to orbital mechanics algorithms.

The ideal candidate is someone who has:

• Translated messy or ad hoc team habits into structured, scalable tools and processes.

• Built complex workflows for multi-functional teams focused on efficiency and collaboration in Smartsheet

• Design and Own Workflow Systems: Build and maintain end-to-end project and operational workflows in Smartsheet for teams working across hardware and software.

• Develop Scalable Smartsheet Architectures: Implement scalable workspace, sheet, and reporting structures that evolve with team size across multiple product lines and projects.

• Enable Cross-Functional Project Visibility: Create dashboards and reporting systems to provide tailored, real-time visibility to engineers, program managers, and executive stakeholders.

• Automate Workflow Processes: Design automation logic using Smartsheet's workflow builder to eliminate manual overhead such as alerts, approval chains, update requests, task assignments.

• Manage Change Request Systems: Set up controlled forms and workflows to manage engineering change requests, internal reviews, and task hand-offs across disciplines.

• Run Audits & Optimize for Growth: Regularly audit Smartsheet systems for efficiency, duplication, or bottlenecks. Continuously refine processes for performance, clarity, and adaptability as teams grow.

• Standardize & Template Key Systems: Use Smartsheet Control Centre, templates, and blueprinting to ensure consistent execution across programs.

• Provide Training & Evangelism: Onboard new teams, deliver training sessions, and produce documentation to promote best practices and system adoption.

• 3+ years of experience working with Smartsheet to build and manage complex workflows for technical or engineering organizations.

• Proven experience in:

  • Smartsheet Dashboards, Reports, Workspaces, and Forms

  • Workflow Automation

  • Cross-sheet linking, summary reports, and permission management

• Strong understanding of project lifecycles in hardware and software development environment

• Excellent communication skills and ability to work with engineers, project managers, and executives.

• Bonus if experienced in:

  • Smartsheet Control Center, WorkApps, or Resource Management

  • Integration with Jira, GitHub, or Slack via Smartsheet connectors or API

  • Managing workflows across Agile and Waterfall teams simultaneously

• Comfortable conducting training and supporting company-wide adoption of Smartsheet-based systems.
