Reporting To: Accounts Manager / Finance Manager
Job Summary:
The Billing Executive will be responsible for preparing accurate bills, maintaining billing-related records, coordinating with internal teams, and ensuring timely submission of invoices to clients. The role requires strong numerical skills, attention to detail, and experience in billing within logistics, warehousing, or service industry environments.
Key Responsibilities:
1. Billing & Invoicing
- Prepare and generate customer invoices accurately and on time.
- Validate billing inputs received from operations, warehouse, transport, and sales teams.
- Ensure billing is done as per client contracts, rate cards, and agreements.
- Reconcile billing data before invoice generation.
2. Documentation & Record Management
- Maintain all billing documents, supporting files, and approval records.
- Update billing trackers, MIS, and maintain invoice registers.
- Send invoices to clients through email, courier, or online portals.
3. Coordination & Follow-Up
- Coordinate with internal departments (Operations, Sales, Finance) for billing-related inputs.
- Follow up with clients for invoice receipt acknowledgment.
- Coordinate with the finance team regarding payments and outstanding invoices.
4. Billing Accuracy & Audit
- Cross-check rate applicability, taxes, discounts, and additional charges.
- Support internal auditing and resolve billing discrepancies.
- Assist in monthly closing and revenue reconciliation.
5. Compliance & Systems
- Ensure compliance with GST, TDS, and other statutory billing requirements.
- Work on ERP/Excel/Software for generating billing MIS and reports.
Required Skills & Qualifications:
- Graduate in Commerce/Business Administration (B. Com preferred).
- 1–3 years of experience in billing, preferably in logistics/warehousing/transport sector.
- Strong knowledge of GST, invoicing formats, and financial documentation.
- Proficiency in MS Excel (VLOOKUP, Pivot Table preferred).
- Basic understanding of accounting principles.
- Good communication & coordination skills.
