This role requires a hands-on professional who can seamlessly operate between both sites, ensuring consistent service delivery and maintaining the highest standards of workplace experience for UBS employees.Key ResponsibilitiesSoft Services Operations ManagementOversee daily soft services operations including housekeeping, catering, security, and guest servicesEnsure consistent service quality standards across all soft service areasCoordinate with service providers and vendors to maintain optimal service deliveryMonitor service schedules, staff deployment, and resource allocationConduct regular quality inspections and audits across service areasHandle day-to-day operational issues and service requestsMulti-Location FlexibilityOperate seamlessly between Aquila and Centaurus locations as requiredMaintain service consistency and quality standards across both sitesAdapt to varying operational requirements and employee needs at each locationCoordinate resource sharing and staff deployment between locations when neededEnsure effective communication and coordination between site teamsHousekeeping & Cleaning ServicesSupervise housekeeping teams and cleaning operations across office areasMonitor cleaning schedules, standards, and compliance with hygiene protocolsConduct regular inspections of washrooms, common areas, and workspacesManage cleaning supplies inventory and consumption trackingEnsure compliance with health and safety cleaning standardsHandle special cleaning requirements and deep cleaning initiativesFood Services & Catering ManagementOversee cafeteria operations, food quality, and service standardsCoordinate catering services for meetings, events, and special occasionsMonitor food safety, hygiene standards, and regulatory complianceManage vendor relationships with catering service providersHandle employee feedback and complaints related to food servicesSupport menu planning and dietary requirement accommodationsSecurity & Access ControlCoordinate with security teams and monitor access control systemsEnsure proper visitor management and guest registration processesMonitor CCTV systems and security protocols complianceHandle security-related incidents and coordinate with relevant teamsManage ID card issuance and access rights coordinationSupport emergency evacuation procedures and safety drillsReception & Guest ServicesOversee reception desk operations and guest service standardsManage visitor registration, escort services, and meeting room coordinationEnsure professional front-of-house service deliveryHandle VIP visits and special guest arrangementsCoordinate with external service providers for guest requirementsMaintain reception area presentation and ambianceVendor & Service Provider ManagementManage relationships with soft services vendors and contractorsMonitor vendor performance against service level agreementsCoordinate vendor schedules, deployments, and service deliveryHandle vendor-related issues, complaints, and performance improvementsEnsure proper vendor compliance with safety and security protocolsSupport contract management and renewal processesEmployee Experience & Service ExcellenceEnsure exceptional workplace experience for all UBS employeesHandle employee service requests, complaints, and feedback efficientlyImplement service improvements based on employee suggestionsCoordinate special events, celebrations, and employee engagement activitiesSupport workplace wellness initiatives and employee comfort measuresMaintain high standards of customer service across all touchpointsRequired QualificationsEducation & ExperienceBachelor's degree in Facilities Management, Hotel Management, Business Administration, or related field4-6 years of experience in soft services or facilities management2+ years of hands-on experience in housekeeping, catering, or guest servicesExperience in corporate environment or commercial real estate preferredBackground in service industry with customer-facing experienceCore CompetenciesSoft Services ExpertiseStrong knowledge of housekeeping operations and cleaning standardsUnderstanding of food service operations and catering managementExperience with security protocols and access control systemsKnowledge of guest services and reception managementFamiliarity with soft services vendor managementOperational SkillsStrong attention to detail and quality control capabilitiesExcellent organizational and time management skillsAbility to multitask and manage multiple service areas simultaneouslyProblem-solving
