Job Summary:
The Admin Supervisor will be responsible for managing and overseeing all administrative functions within the manufacturing unit, ensuring smooth day-to-day operations. This includes supervision of facility management, housekeeping, security, canteen, attendance systems, transport, and general office coordination. The role requires a proactive, organized individual who can handle multiple operational tasks efficiently while maintaining discipline and compliance at the factory premises.
Key Responsibilities:
1. General Administration & Facility Management
Supervise day-to-day administrative operations at the factory and office.
Oversee housekeeping, security, pantry, and maintenance activities.
Ensure the premises, machinery areas, and office spaces are well-maintained, clean, and safe.
Coordinate repairs, maintenance of utilities, and upkeep of infrastructure.
Maintain vendor relationships for facility services (cleaning, pest control, waste disposal, etc.).
2. Attendance & Workforce Administration
Monitor employee attendance, shift schedules, and leave records.
Coordinate with attendance reconciliation and payroll input.
Maintain discipline across the workforce and enforce company policies.
Support manpower deployment for housekeeping, canteen, and support staff.
3. Transport & Canteen Management
Oversee transport arrangements for staff, including route planning and vehicle maintenance.
Manage canteen operations – quality of food, hygiene, and vendor performance.
Ensure proper coordination between departments and vendors for smooth daily operations.
4. Procurement & Asset Management
Manage procurement of administrative supplies such as stationery, uniforms, safety gear, and office equipment.
Maintain records of company assets and ensure timely repair or replacement.
Verify bills and process vendor payments in coordination with accounts.
5. Compliance & Safety
Ensure compliance with statutory and company safety norms within administrative areas.
Conduct regular checks for fire safety, first aid, and facility readiness.
Support HR and Operations in audit preparation and documentation.
6. Coordination & Reporting
Serve as the point of contact between management and service providers.
Prepare and maintain administrative reports (attendance, transport, maintenance logs, etc.).
Support HR, Finance, and Operations departments with necessary administrative assistance.
Qualifications & Experience:
Bachelor's degree in Administration / Management or equivalent.
3-4 years of experience in administration, preferably in a manufacturing or factory environment.
Familiar with factory compliance, attendance systems, and vendor management.
Proficiency in MS Office and basic ERP tools.
