What you'll be doing
Leadership & Management
- Lead, develop, and assist Manager(s), Team Lead(s), and Transcription Team members with daily responsibilities
- Serve as the operational lead for high-priority medico-legal clients requiring 24x7x365 coverage
- Ensure timely and error-free processing of medico-legal files by a team of 75+ associates
- Maintain high levels of responsiveness and escalation management during client/onshore team interactions
- Lead and develop a cross-functional team, including Managers, TLs, and documentation specialists
- Responsible for staffing model to ensure 24/7 coverage across time zones
- Monitor and improve team KPIs such as productivity, accuracy, TAT, and quality compliance
- Ensure compliance with legal documentation protocols and confidentiality standards
- Review complex dictations and files for quality assurance as needed.
- Drive performance through established department KPIs (key performance indicators) and hold the team accountable to meet expectations
- Develop, implement, and monitor resolution plans when KPIs are not being met
- Ensure manager(s) provide leadership and drive training plans for new Transcription team members (in partnership with the training team)
- Develop and coach underperforming team members by providing direct feedback and coaching
- Accountable for driving team members to meet and exceed goals, and providing detailed feedback to the team and leadership if the goals are not met
- Develop and implement departmental policies, procedures, and best practices
- Conduct performance evaluations, provide coaching, and manage disciplinary actions as needed
- Foster a collaborative team environment focused on continuous improvement and professional development
- Plan and manage staffing levels to meet organizational demands and turnaround time requirements
Operations & Quality Management
- Ensure accurate and timely transcription of medical records, reports, and correspondence
- Develop and maintain quality assurance programs with established accuracy benchmarks (typically 99.5%+ with no critical errors)
- Ensure TAT of all reports is met 24/7/365 (24H or less)
- Ensure accuracy of 99% or better, including transcription accuracy and formatting
- Monitor productivity metrics, turnaround times, and quality scores across the team
- Implement and oversee comprehensive training programs for new and existing staff
- Manage workflow distribution and prioritization to optimize efficiency
- Troubleshoot complex transcription challenges and medical terminology issues
Compliance & Risk Management
- Ensure full compliance with HIPAA regulations and maintain patient confidentiality standards
- Stay current with healthcare documentation requirements and regulatory changes
- Oversee audit processes and implement corrective action plans as needed
- Maintain detailed documentation of quality metrics, compliance activities, and staff performance
Technology
- Oversee transcription technology platforms, speech recognition software, and digital dictation systems
- Evaluate and implement new technologies to improve efficiency and accuracy
- Coordinate with the IT department on system updates, troubleshooting, and security measures
- Analyze technology performance metrics and ROI
Strategic Planning & Budget Management
- Develop annual departmental budgets and manage expenses within approved limits
- Analyze department performance metrics and present regular reports to senior leadership
- Identify opportunities for cost reduction and process improvement
- Plans for future staffing needs and technology upgrades
- Collaborates with other department heads on cross-functional initiatives
Requirements:
Education & Certification
- Post-Graduation or Bachelor's degree, preferably in Life Sciences, Business Administration, or related field
- Medical transcription certification (CMT or equivalent) strongly preferred
Experience
- Minimum 10+ years' experience in healthcare documentation / Medical Transcription
- A minimum of 5+ years' experience in medical-legal reports (QME, IME specifically).At least 3-5 years of supervisory or management experience in healthcare documentation / Medical Transcription
- Experienced in 24/7/365 account requirements
- Proven track record of managing teams and driving operational improvements
- Experience with various medical specialties and documentation types
Technical Skills
- Proficiency with medical transcription software and speech recognition technology
- Strong knowledge of medical-legal terminology, anatomy, pharmacology, format, and medical terminology
- Experience with electronic health record (EHR) systems
- Advanced computer skills, including Microsoft Office Suite
- Familiarity with quality management systems and metrics tracking
- Should previously have been designated as a Sr. Manager or Director
- Team management and strong interpersonal skills
- Ability to maintain confidentiality of sensitive information.
- Ability to communicate effectively, both verbally and in writing
