Job description

Role & responsibilities

  • Diary management, Emailing experience essential
  • Booking meetings/appointments
  • Business travel booking flights, hotels, car hire, etc.
  • Organizing visas, arranging visa invitation letters for overseas visitors.
  • Maintaining the CEO's travel log
  • Maintaining the CEO's planner
  • Fielding calls for the CEO and taking messages.
  • Organizing food/refreshments for business lunches
  • Provide cover when necessary for other duties- mainly absence reports, incoming/outgoing post, and Boardroom bookings.
  • Inputting and updating contact details into Outlook
  • Carrying out research for particular projects as requested by the CEO
  • Organizing corporate & staff events
  • Taking minutes at various management meetings and typing up minutes
  • Organizing interviews/ liaising with other agencies
  • Organizing the CEO's personal hobby insurance, track/test days, flights, and hotels where required.
  • Assisting the CEO with personal holidays/events
  • Ad hoc paperwork & duties

Interpersonal Skills:

  • Ability to multitask and experience in dealing with a demanding role and high-level workload
  • Ability to priorities work & manage time effectively, and be proactive
  • Excellent Organizational skills
  • Communication skills are the ability to communicate well at all levels.
  • Demonstrate a professional manner at all times and possess the ability to remain calm under pressure. Self-motivated
  • Ability to maintain a high level of discretion
