Role & responsibilities

  • Dispatch Planning & Execution

  • Plan daily dispatches as per PPC / customer delivery schedules.

  • Coordinate with production, quality, and stores for material availability.

  • Ensure FIFO / batch traceability during dispatch.

  • Documentation & Compliance

  • Prepare dispatch documents: Delivery Challan, Invoice, E-way Bill, Packing List, COA (if applicable).

  • Ensure correct HSN codes, quantities, and customer part numbers.

  • Maintain dispatch registers and ERP entries.

  • Quality & Packing Control

  • Ensure only QA-approved material is dispatched.

  • Verify proper packing, labeling, and customer-specific requirements.

  • Prevent transit damage through correct packaging methods.

  • Logistics & Transport Coordination

  • Coordinate with transporters for vehicle arrangement.

  • Optimize freight cost and vehicle utilization.

  • Track dispatched material and confirm delivery status.

  • Inventory & Records

  • Update stock movement in ERP/system.

  • Maintain finished goods inventory accuracy.

  • Support periodic stock audits and reconciliations.

  • Customer & Internal Coordination

  • Communicate dispatch status to customers and internal teams.

  • Handle dispatch-related queries and urgent shipments.

  • Support customer complaint investigations related to dispatch.

  • Safety & 5S

  • Ensure safe loading and unloading practices.

  • Maintain 5S and discipline in dispatch area.
  • Follow company safety and statutory norms.

Preferred candidate profile

  • Knowledge of dispatch documentation & GST / E-way Bill
  • ERP / SAP / Tally / Excel proficiency
  • Understanding of logistics & transportation
  • Good coordination and communication skills
  • Attention to detail & time management
  • Basic quality awareness (FIFO, traceability)
