About the Role

We're looking for a dynamic
Head of Events-Operations
who will be the central force behind the scenes —aligning operations with creative vision. You'll own the end-to-end operations for the festival across cities — from planning, promotion, curation and logistics to team coordination, vendor management, and on-ground delivery. You will ensures that all moving parts — from creative teams to logistics and client servicing — run in sync, deadlines are met, budgets are optimized, and every project reflects the brand's excellence and purpose.

Your mission: deliver seamless, vibrant, and efficient festivals that run like clockwork — even when they look effortlessly chill.

Key Responsibilities

1. Festival Planning & Operations

  • Lead the end-to-end operations across planning, production, and execution for Ekatva Festival across multiple editions and cities (Mumbai, Delhi, Bengaluru, etc.)
  • Create master timelines, production plans, checklists, and budgets for event production, vendor onboarding, ticketing, and permits.
  • Design efficient site layouts for stalls, experiences, F&B zones, art installations, and live stages.
  • Oversee the festival curation - from handpicked sustainable marketplaces, sponsor visibility, talk & experience zones to art installations and F&B areas.
  • Collect and analyze feedback and insights post-event to drive continuous improvement.

2. Team & Coordination

  • Collaborate closely with different departments curation, design, production, sales and marketing teams to ensure the operational blueprint complements the creative vision of the festival.
  • Run daily ops syncs, ensure inter-department alignment, and resolve bottlenecks quickly.
  • Define project timelines, allocate tasks and manage resources to ensure seamless delivery.
  • Lead cross-functional teams across operations, production,logistics, and on-ground staff.
  • Hire, train, and manage temporary staff and volunteers during festivals.
  • Mentor younger team members and foster a high-performance culture built on accountability and communication.

3. Vendor, Partner & Exhibitor Management

  • Build sustainable vendor partnerships that align with Ekatva's conscious ethos.
  • Oversee onboarding and management of 200+ curated brands, partners, and F&B stalls.
  • Ensure exhibitors receive a smooth, premium experience before, during, and after the event including onboarding, promotions, hassle free setup, electricity, security, and compliance for all vendors.
  • Collaborate with multiple vendors to ensure ethical, efficient and timely execution of project tasks. Proactively address and resolve any challenges that arise.
  • Liaise with sponsors for branded zones, installations, and experiential setups.
  • Manage contracts, logistics, deliverables and operational guidelines for all exhibitors.

4. On-Ground Production & Execution

  • Supervise venue build-out, fabrication, infrastructure, and branding installations.
  • Manage technical teams — sound, light, stage, electrical, housekeeping, crowd management and security.
  • Lead cross-functional teams across operations, logistics, and on-ground staff.
  • Oversee artist zones, speaker sessions, and curated experiences.
  • Ensure a high quality well-run experience — from entry to exit for all stakeholders - visitors, sponsors, artists, stall vendors, and media partners.
  • Handle contingency planning for weather, safety, or technical disruptions.

5. Budgeting & Resource Management

  • Own P&L for festival operations.
  • Prepare and manage detailed operational budgets.
  • Negotiate vendor contracts and optimize costs without compromising quality, creativity or experience.
  • Track all expenditures, generate post-event reconciliation, and share operational reports and ensure financial transparency.

6. Compliance, Safety & Sustainability

  • Oversee permits, licenses, and all compliances for the venue. Maintain safety standards for electrical, fire, and crowd control protocols.
  • Implement green event practices — waste segregation, reusable setups, and minimal plastic use.
  • Ensure smooth crowd management and top-notch visitor experience.

7. Cultural & Creative Aspects

  • Work closely with creative teams to bring the
    festival's personality
    to life — relaxed, inclusive, and community-driven.
  • Ensure spaces flow naturally — from talk sessions and workshops to art corners, live performances, and local markets.
  • Help make Ekatva not just an event, but a movement people look forward to every year — a place to unwind, discover, and belong.

Key Performance Indicators (KPIs)

  • Smooth execution of festival operations within time and budget.
  • Partner, sponsor, and exhibitor satisfaction scores.
  • Operational efficiency and sustainability implementation.
  • Visitor experience ratings and feedback.
  • Team efficiency and morale during promotion and production cycles.

Ideal Candidate Profile

  • 6–12 years of experience managing large-scale festivals, experiential events, or cultural gatherings.
  • Bachelor's degree in Event Management, Marketing, Communications, or a related field.
  • Proven experience in planning and managing large-scale events.
  • Strong organizational, multitasking, and project management skills.
  • Strong understanding of event timelines like promotion, production, logistics, and operations.
  • Communicate effectively, think on your feet, think critically under pressure, and resolve issues with ease.
  • Demonstrate a proactive, go-getter attitude, with leadership abilities and good communication skills.
  • Strong vendor management, budgeting and excellent negotiation skills.
  • Creative eye with operational discipline.
