The job combines the strategic duties of an executive assistant with the technical precision of a stenographer, requiring both administrative and communication expertise.
Key responsibilitiesExecutive and administrative support
- Calendar and travel management: Manage the executive's calendar, schedule meetings and appointments, and coordinate complex domestic and international travel arrangements.
- Communication handling: Serve as the primary point of contact and act as a gatekeeper, handling and prioritizing all incoming correspondence, including emails, phone calls, and inquiries.
- Documentation and presentations: Prepare, edit, and proofread official correspondence, reports, presentations, and other documents.
- Meeting coordination: Organize and plan conferences, meetings, and special events. This includes preparing agendas, taking minutes, and following up on action items.
- Research and data compilation: Conduct research, gather data, and compile reports to support the executive's decision-making.
Stenography and secretarial duties
- Shorthand dictation: Take rapid, accurate dictation in shorthand during meetings, speeches, and interviews.
- Transcription: Transcribe shorthand notes and audio recordings into clear, well-structured, and error-free documents.
- Records management: Maintain and organize a central record of all stenographic materials and official correspondence.
- Confidentiality: Uphold strict confidentiality when handling and transcribing sensitive information related to the business and its executives.
