Job Summary:
We are seeking a highly organized and proactive
Executive Secretary / Personal Assistant
to provide comprehensive administrative and secretarial support to senior executives. The ideal candidate should possess strong multitasking abilities, excellent communication skills, and a high degree of professionalism while handling confidential information.
Key Responsibilities:
- Provide comprehensive secretarial and administrative support to senior executives, including managing calendars, scheduling appointments, and coordinating meetings.
- Organize and maintain documents, records, and files (both electronic and physical).
- Prepare professional correspondence, reports, and presentations with accuracy and attention to detail.
- Handle confidential and sensitive information with discretion and integrity.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, and transportation.
- Screen phone calls, emails, and other communications, and appropriately handle or redirect inquiries.
- Prepare and process expense reports, invoices, and related financial documentation.
- Coordinate and prioritize incoming requests, ensuring timely follow-up and completion of tasks.
- Manage office supplies, liaise with vendors, and coordinate maintenance activities.
- Assist in organizing meetings, conferences, and company events.
- Represent the organization in a professional manner while interacting with internal and external stakeholders.
- Collaborate with team members to streamline administrative processes and enhance overall efficiency.
Qualifications & Skills:
- Bachelor's degree in Business Administration or a related field (preferred).
- 3 to 5 years of proven experience as a Secretary, Personal Assistant, or in a similar administrative role within an IT company.
- Excellent organizational and multitasking abilities with strong attention to detail.
- Proficiency in
Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
and related tools. - Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Effective problem-solving and decision-making skills.
- Self-motivated, with the ability to work independently as well as collaboratively.
- Flexible and adaptable to shifting priorities in a fast-paced environment.
