Job Overview
We are seeking a motivated Office Associate to join our team in Coimbatore. This is a full-time high operational and tactical position suitable for freshers with up to 1 year of experience. As an Office Associate at TeachEdison, you will play a crucial role in ensuring the smooth operation of our daily administrative and front office functions, supporting our fast-growing edtech environment. This person will also act as our office boy, take care of the cars, handle founders' transport and driving needs, and manage all assistive works as required. Responsibilities also include airport pickups, preparing guest hotel accommodation, and getting ready for guest arrivals. We will provide food and accommodation at our guest house.
Qualifications and Skills
- Driving (Mandatory skill): Candidate must possess driving skills with a valid driving license as they will be required to handle transportation-related coordination. Candidate must know how to ride two wheelers and cars.
- Proficient in office administration, basic record keeping, file management, and support the office environment efficiently.
- Strong travel coordination skills to arrange logistics for staff, including bookings and local transportation management.
- Experience or knowledge in purchase order processing for procurement of office supplies, tracking orders, and managing vendor communications.
- Ability to handle guests, manage calls, and ensure a welcoming office atmosphere.
- Efficient administrative assistance, including scheduling meetings, organizing documents, and supporting the team with clerical tasks.
- Effective verbal and written communication skills for internal coordination and professional interactions with vendors and visitors.
- Strong organizational and multitasking abilities to prioritize tasks and manage multiple responsibilities within tight deadlines.
- Ability to perform duties similar to an office boy, look after company cars, support founders' transport and driving requirements, and handle various assistive office tasks.
Roles and Responsibilities
- Support day-to-day office administration, ensuring smooth operations and a well-maintained work environment.
- Coordinate travel arrangements for employees, including transportation, accommodation, and local logistics.
- Process purchase orders, liaise with vendors, and maintain accurate inventory of office supplies and assets.
- Manage front office activities by handling calls, welcoming visitors, and facilitating guest requirements.
- Assist in organizing meetings, preparing rooms for staff or client gatherings, and maintaining documents.
- Perform document management, record keeping, and support various administrative tasks as needed.
- Provide transportation support for company activities by operating vehicles as required for logistics purposes.
- Contribute to maintaining a positive and productive work culture by supporting colleagues and management in various initiatives.
- Carry out responsibilities akin to an office boy, such as helping with errands, maintaining cleanliness of office spaces, taking care of all company vehicles, driving for founders' transport, and assisting with all other support work as needed.
- Perform airport pickups and ensure guest hotel accommodation is prepared in advance.
- Coordinate and prepare to receive guests, ensuring their needs are met during their stay including food and accommodation at our guest house.
