Job Summary:
The Accounts Executive – Accounts Receivable is responsible for managing and maintaining accurate records of all guest, corporate, and group billing accounts, ensuring timely collection of outstanding balances, and supporting the Finance Department in maintaining the hotel's financial integrity and cash flow.
Key Responsibilities:
- Billing & Invoicing
- Prepare, verify, and post invoices for guests, corporate clients, travel agents, and group accounts.
- Ensure all charges are accurately posted and supported by valid documentation.
- Coordinate with Front Office, Sales, and F&B departments to verify billing details before issuing invoices.
- Accounts Receivable Management
- Maintain up-to-date records of all receivables and monitor aging reports.
- Follow up on overdue accounts through email, phone calls, and statements of accounts.
- Reconcile customer accounts regularly to ensure accuracy.
- Assist in preparing monthly accounts receivable reports and aging analysis.
- Collections
- Liaise with corporate clients and travel agents for timely payment collection.
- Escalate delinquent accounts as per credit policy and assist management with credit control decisions.
- Record and apply customer payments accurately to respective accounts.
- Internal Controls & Audit
- Support the Finance Department during internal and external audits.
- Maintain organized documentation of all invoices, credit notes, and correspondence.
- Ensure compliance with the hotel's financial and credit policies.
- Coordination & Communication
- Work closely with the Sales, Front Office, and Reservations teams to resolve billing disputes.
- Communicate professionally with clients to ensure strong business relationships.
- Assist in other finance-related duties as assigned by the Accounts Manager or Financial Controller.
