Job Summary:
We are looking for a well-presented and friendly Receptionist / Front Office Executive to manage our front desk and provide professional administrative support. As the first point of contact for clients and visitors, you will play a key role in creating a positive impression and ensuring smooth day-to-day front office operations.
Key Responsibilities:
Greet and welcome visitors and clients in a warm, courteous, and professional manner.
Answer, screen, and forward incoming phone calls.
Maintain a tidy and presentable reception area with all necessary materials (brochures, forms, etc.).
Handle all front office administrative duties including managing appointments, calendars, and visitor logs.
Provide accurate information to clients and visitors regarding the company, its services, and departments.
Receive, sort, and distribute daily mail, deliveries, and couriers.
Schedule meetings and manage conference room bookings.
Assist in various administrative tasks such as data entry, filing, and record keeping.
Coordinate with internal departments to ensure front desk needs are met.
Maintain security by following procedures and controlling access via the reception desk (monitoring logbook, issuing visitor badges).
Requirements:
Proven work experience as a Receptionist, Front Office Executive, or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities.
Professional appearance and attitude.
Customer service orientation and ability to handle stressful situations.
High school diploma or equivalent; a degree in administration or related field is a plus.
Preferred Skills:
Knowledge of office equipment (e.g., printers, scanners, telephone systems).
Familiarity with administrative and clerical procedures.
Ability to manage time efficiently and work under pressure.
Work Environment:
Office setting, typically at the front desk or reception area.
Requires sitting for extended periods and handling routine administrative tasks.
