Job Summary

The Medical Records Follow Up Team Lead is responsible for overseeing the daily operations of the Follow Up team, ensuring that all SOP processes are executed efficiently and in compliance with regulatory standards. This role involves leading and managing a team of Medical Record Follow Up Specialists, providing guidance, training, and support to ensure high-quality service delivery. The Medical Records Follow Up Team Lead also plays a pivotal role in collaborating with clinical teams, insurance providers, and facility management to ensure that all documentation was verified and received in a timely manner. This position requires strong leadership, excellent communication skills, and a deep understanding of the complexities regarding medical records and documentation for behavioral health services.

Responsibilities and Duties

  • Supervise, mentor, and provide ongoing support to the Follow Up team, ensuring that all team members are performing their duties effectively and in accordance with company standards
  • Creating and maintaining Data tracker, productivity reports for all Specialists of follow up.
  • Overseeing and maintaining the follow up google sheets for all teams as per Standard protocol of follow up within 5-7 Days of sending records.
  • Conduct regular team meetings to discuss process improvements and any challenges the team may face.
  • Review and assign records sent via Zion for follow up within a timely manner.
  • Oversee the workload distribution among the team members, ensuring an equitable distribution of cases and timely completion of tasks
  • Ensure that all MR Follow Up processes are followed consistently by the team, including documentation, implementing quality control measures to improve processes and resolve discrepancies, and maintaining compliance with HIPAA regulations.
  • Monitor and audit team performance to ensure adherence to internal protocols and external regulatory requirements.
  • Provide ongoing professional development opportunities for the team to enhance their skills and knowledge
  • Ensure proper documentation practices are followed for all records and transactions.
  • Contacting insurance via phone or other means to obtain information for records sent
  • Enter and update patient records status into electronic health record (EHR) systems
  • Maintain accurate and detailed records of team activities and performance.
  • Perform additional duties as requested by direct Supervisor and/or Management
  • Review Work of assigned specialists within the allotted time frame per SOP
  • Safeguard patient information and ensure confidentiality at all times
  • Handle sensitive information with discretion and integrity

Qualifications and Skills

  • Strong organizational abilities with a focus on managing multiple tasks and priorities
  • Proficiency in electronic health record (EHR) systems and medical record management softwares
  • Strong data management and typing skills with attention to detail
  • Excellent written and verbal communication skills for effective interaction with healthcare providers and patients
  • Problem-solving skills to address and resolve discrepancies in medical records
  • Proficiency in EHR systems and standard office software including Google Workspace, Google Drive, Google Sheets, Google Docs
  • Ability to navigate various technology and software tools
  • Knowledge of medical terminology and record-keeping practices
  • High level of accuracy in reviewing and entering data
  • Proven leadership and team management abilities.
  • Thoroughness in ensuring all aspects of medical records are complete and accurate

Education and Experience

  • B.A,B.Com, B.Sc. or equivalent required.
  • Associate's Degree or Bachelor's Degree in Health Information Management, Medical Records, M.B.A or a related field preferred

(Preferred):

  • Experience leading a team in a medical records or behavioral health setting
  • Knowledge of day-to-day operations in psychiatric or behavioral healthcare facilities, including all levels of care (Detox, RTC, PHP, IOP, OP, Aftercare).
  • Familiarity with electronic health record (EHR) systems and healthcare documentation processes.
  • A track record of implementing process improvements that enhance team efficiency and effectiveness.
