We are currently looking for Events Coordinator - U2 to work with our internal team here in Hyderabad (WFO).

Role: Events Coordinator - U2 (Fulltime/Permanent)

NOTE: As per Tech Mahindra the designation on papers will be "Sr. Associate Analyst - BPS/U2"

Location: Hi-Tech city , Hyderabad

EXP: 1.8Y till 10Y (Stakeholder/Clients management + Good understanding of PO/Invoice)

Payroll: Tech Mahindra

Client: UK Based (500 years old publishing house)

Shift: 12PM till 9:30PM (2 way free transport will be provided with in the radius of 30Kms)

Work More: WFO (5 Day working/Fixed week offs on Sat & Sun)

Interview Mode: Virtual

PURPOSE OF ROLE:

Manage the administrative and logistical work for the Global Events Events team (specifically finance administration and supporting the Author Promo function in the Global Events team)

KEY ACCOUNTABILITIES:

  • Arranging internal and external meetings/room bookings and in-house catering
  • Manage equipment and publications orders and track dispatches
  • Raising POs, receipting them, passing them to Invoices for payment and ensure that they are paid within the deadline Using SAP Concur tool
  • Adding new suppliers and admin involved
  • Dealing with deliveries for events (i.e. placing the order for list of publications, merchandise and equipment, ensuring that they get to the venue in time)
  • Arranging the return of items like banners
  • Keeping an eye of publications in stock and checking stock inventory and checking article

numbers as to how much we have left Provide event-related administrative and operational support for Author Promo function.

  • Manage and process payments, including setting up new vendors, track and record Author

Promotion budget

  • Support Author/Speaker Promotional programme with booking flights and accommodation
  • Regularly update author database and collate abstracts for key campaigns.
  • Track and record Author Promotion budget (raising POs etc, process and record author

expenses and travel invoices)

  • Logging and maintaining the excel sheet with all the talks
  • Supporting the development of the new author speaker library
  • Liaising with the regional markets on the travel itineraries and making sure the 'on the ground' details are all organized and added to the itinerary.

EDUCATION: Graduation in Any field

EXPERIENCE:

Essential

Previous experience working in an EA/PA capacity

Experience working in a busy and fast-paced environment

Budget management / demonstrable financial awareness (Must have experience in raising POs and in managing travel invoices)

Desirable:

Dealing with an international audience

Experience in planning meetings or events

Experience in supporting project managers on complex projects
