Role Overview

We are seeking a professional and proactive individual to manage front desk operations and provide administrative support. The role will primarily focus on ensuring a smooth front office experience for employees, visitors, and clients, while also assisting with day-to-day administrative tasks.

Key Responsibilities

Front Desk (Primary)

  • Greet and welcome visitors, ensuring a professional and friendly first impression.
  • Manage the reception area, maintaining cleanliness and order.
  • Handle incoming calls, emails, and correspondence, directing them to the appropriate department.
  • Coordinate visitor entry, security protocols, and access cards/passes.
  • Manage courier services, incoming/outgoing mail, and package handling.
  • Maintain visitor logs and ensure compliance with security procedures.
  • Provide assistance with meeting room bookings, arrangements, and refreshments.

Administrative Support (Secondary)

  • Assist with office supplies inventory and place orders as needed.
  • Support in organizing company events, meetings, and celebrations.
  • Coordinate with vendors for facility-related requirements (stationery, housekeeping, pantry, etc.).
  • Provide general administrative support to different teams when required.
  • Maintain records, files, and documentation related to admin functions.
  • Assist HR/Operations team in onboarding new employees (welcome kits, ID cards, seating, etc.).

Qualifications & Skills

  • Graduate in any discipline with 3+ years of relevant experience in front desk or administrative roles.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
  • Positive attitude, presentable, and detail-oriented.
