About the Role
:
We are looking for a proactive, people-friendly, and hands-on
Front Desk & Admin Executive (HR Engagement Support)
to be the face of our Gurgaon HQ. You'll manage the front desk and office administration while supporting the HR team in employee engagement activities and internal events. If you enjoy creating a welcoming environment and love being the go-to person for all things office and people-related, we'd love to meet you
Key Responsibilities:
Front Desk & Reception
Greet clients, visitors, and employees with a professional and courteous demeanor.
Manage check-ins and visitor logs, ensuring security protocols are followed.
Answer and redirect calls efficiently.
Coordinate meeting room bookings and prepare spaces for meetings.
Maintain a clean, welcoming, and organized reception area.
Administrative & Operational Support
Resolve daily office issues (e.g., Wi-Fi, maintenance, admin supplies, etc.).
Coordinate with vendors and internal admin/facilities teams as required.
Handle courier and delivery logistics (sorting, distribution, pickups).
Manage office supplies and inventory in coordination with facilities or procurement.
Oversee day-to-day office operations to ensure a professional, efficient workspace.
Support interview coordination and onboarding in the absence of HR.
HR & Employee Engagement Support
Assist the HR team in planning and executing
employee engagement activities, celebrations, and internal events.Coordinate logistics for engagement initiatives, such as venue setup, supplies, and communication.
Help gather feedback and suggestions from employees to improve engagement initiatives.
Maintain engagement calendars, attendance, and participation records.
Reporting & Administration
Maintain detailed reports of office and HR activities for review and analysis.
Collaborate with vendors to ensure smooth delivery of services and supplies.
Skills & Qualities We're Looking For:
Strong interpersonal and communication skills—professional yet approachable.
Highly organized, proactive, and hands-on with a problem-solving attitude.
Ability to multitask and manage time effectively in a dynamic environment.
Proficient in tools like Google Workspace, Slack, and basic office systems.
Prior experience in a startup or fast-paced environment is a plus.
