Key responsibilities of a ward clerk:

  • Patient record management:

  • Creating and updating patient medical records with accurate information, including demographics, diagnoses, medications, and treatment plans.

  • Filing patient documents and maintaining proper chart organization.
  • Entering data into electronic health records (EHR) systems.

  • Appointment scheduling:

  • Coordinating patient appointments with doctors and other healthcare providers within the ward.

  • Managing appointment cancellations and rescheduling requests.

  • Communication and reception:

  • Answering phone calls and directing inquiries to appropriate staff members.

  • Greeting visitors and providing basic information about the ward and patient status.
  • Relaying important information to medical staff regarding patient needs and updates.

  • Supply management:

  • Monitoring and ordering medical supplies, forms, and office supplies as needed.

  • Maintaining inventory records and ensuring proper stock levels.

  • Administrative tasks:

  • Preparing discharge summaries and other necessary documentation.

  • Generating reports on patient census and ward activity.
  • Maintaining compliance with HIPAA regulations regarding patient privacy.

  • Patient support:

  • Assisting patients with basic needs, such as providing directions within the facility or helping with communication needs.

  • Escorting visitors to patient rooms as required.

Required skills and qualifications:

  • Strong administrative skills:Ability to manage multiple tasks efficiently and accurately with attention to detail.
  • Computer proficiency:Familiarity with electronic health records (EHR) systems and basic office software.
  • Excellent communication skills:Clear verbal and written communication to interact with patients, families, and medical staff.
  • Medical terminology knowledge:Basic understanding of medical terms and abbreviations.
  • Customer service skills:Ability to provide courteous and helpful assistance to patients and visitors.
