1. Order Handling & Coordination

  • Assist the merchandiser in handling buyer orders from development to shipment.
  • Coordinate with buyers for approvals, queries, and clarifications.
  • Prepare and maintain order sheets, BOM, TNA, and costing sheets.

2. Sample Development

  • Follow up on sample development (proto, fit, PP samples, etc.).
  • Coordinate with sampling team for timely sample execution.
  • Ensure samples are packed, dispatched, and tracked on time.

3. Vendor / Factory Coordination

  • Communicate with vendors and factories regarding raw materials, trims, and production status.
  • Follow up for fabric, trims, accessories, and ensure on-time in-house.
  • Support in resolving production or quality issues.

4. Production Follow-up

  • Monitor production progress as per TNA and highlight delays.
  • Coordinate with the quality team for inline and final inspections.
  • Track daily production, cut-to-ship ratio, and WIP.

5. Documentation & Reports

  • Maintain all documentation: POs, invoices, packing lists, and inspection reports.
  • Prepare weekly report on order status, delays, and approvals.
  • Update internal systems/ERP with real-time data.

6. Communication & Follow-ups

  • Maintain effective communication between buyer, vendor, fabric, trims, and internal teams.
  • Follow up on approval submissions and comments received.

7. Costing & Negotiation Support

  • Assist in basic costing, consumption, and price negotiation with suppliers.
  • Compare vendor quotations and support decision-making.

8. Quality & Compliance Support

  • Coordinate with QA team for sample and production quality checks.
  • Ensure all buyer compliance requirements are followed.

9. Shipment Coordination

  • Follow up on packing, documentation, and dispatch timelines.
  • Coordinate with logistics for on-time shipment and document sharing.

10. Additional Responsibilities

  • Support the merchandiser in all day-to-day tasks.
  • Maintain files, records, and communication logs.
  • Attend meetings and prepare MOM (Minutes of Meeting).
