Job Summary:
The Tender Executive will be responsible for managing the entire tendering process, including identifying opportunities, preparing technical and commercial documents, coordinating with internal teams, and ensuring timely submission of bids. The role requires strong attention to detail, organizational skills, and knowledge of tendering procedures to maximize business opportunities and compliance.
Key Responsibilities:
- Tender Tracking & Identification
o Monitor daily tender notifications on GeM, CPPP, State portals, and OEM updates.
o Maintain a calendar of upcoming tenders with deadlines.
2. Tender Preparation & Submission
o Download and review tender documents thoroughly.
o Identify mandatory eligibility and technical requirements.
o Collect data from internal teams (technical specs, financials, certifications).
o Prepare technical & financial bids as per tender format.
o Submit tenders online/offline before deadlines.
3. Documentation & Compliance
o Maintain company registrations, vendor empanelment's, ISO certificates, and financial documents.
o Ensure timely submission and tracking of Earnest Money Deposits (EMD) in different forms (DD, BG, Online transfer, etc.).
o Monitor Performance Bank Guarantees (PBG) – issuance, submission, validity, and renewal before expiry.
o Maintain a register/database for all active EMDs & PBGs with due dates.
o Ensure compliance with statutory and tender-specific requirements.
4. Coordination & Communication
o Act as a single point of contact with tender authorities, OEMs, and partners.
o Resolve pre-bid queries by coordinating with relevant stakeholders.
o Support sales & technical teams in clarifications and negotiations.
5. Reporting & Analysis
o Maintain MIS report on tenders submitted, won, lost, and pending.
o Conduct competitor and price analysis.
o Track financial exposure related to EMDs & PBGs.
o Provide insights to management for strategy improvement.
6. Post-Tender Activities
o Assist in contract award formalities (BG, Agreements, Documentation).
o Coordinate with logistics & finance teams for execution after order finalization.
Qualifications & Skills:
- Education: Graduate in Commerce / Science/ Business Administration / Biomedical Engineering or related field.
- Experience: 1–3 years in tendering, bidding, or contracts management (preferably in medical equipment or pharma).
· Skills Required:
o Knowledge of government e-procurement portals (GeM, CPP, State portals).
o Strong MS Office (Excel, Word, PowerPoint) skills.
o Good understanding of commercial terms (EMD, PBG, taxes, payment terms, etc.).
o Excellent written and verbal communication.
o Ability to work under tight deadlines with attention to detail.
