The Senior Supervisor – Finance (Accounts Receivable) is responsible for overseeing the hotel's accounts receivable functions, ensuring timely and accurate billing, collection, and reconciliation of guest and corporate accounts. This role ensures that all receivables are properly recorded, payments are collected on time, and financial records comply with company standards and accounting regulations. The position also supervises and guides junior staff in the receivables section, maintaining strong internal controls and supporting the overall financial health of the hotel.
Key Responsibilities:Accounts Receivable ManagementSupervise daily accounts receivable operations, including billing, invoicing, posting payments, and reconciling customer accounts.
Review and verify accuracy of guest ledger, city ledger, and other receivable transactions.
Ensure timely preparation and dispatch of invoices to guests, companies, travel agents, and other clients.
Monitor aging reports regularly and follow up on outstanding balances to minimize overdue accounts.
Coordinate with the Front Office and Sales departments to verify billing instructions and ensure proper revenue posting.
Process and record advance deposits, refunds, and adjustments as per company policies.
Ensure collection targets are met within established timelines.
Communicate with clients regarding overdue accounts and coordinate payment arrangements.
Maintain strong relationships with corporate clients, travel agents, and vendors to ensure timely payments.
Support management in evaluating and approving credit applications and setting credit limits.
Escalate chronic overdue accounts and recommend appropriate actions (e.g., suspension of credit, legal follow-up).
Reconcile accounts receivable sub-ledgers with the general ledger on a regular basis.
Prepare monthly AR aging reports, collection summaries, and other financial reports for management review.
Assist in month-end and year-end closing processes related to receivables.
Ensure all transactions are documented and comply with internal audit and finance policies.
Maintain proper documentation for all billing, collections, and adjustment activities.
Ensure compliance with hotel financial policies, internal control procedures, and statutory regulations.
Support internal and external audits by providing necessary data and documentation.
Identify areas of process improvement and implement corrective measures to strengthen control systems.
Provide training, mentoring, and performance feedback to team members.
Ensure that team members adhere to service standards and accounting best practices.
Collaborate with the Sales, Front Office, and Banquets departments for billing clarifications and event postings.
Liaise with banks for payment confirmations, credit card settlements, and discrepancies.
Communicate regularly with the Finance Manager on receivable performance, risk accounts, and collection progress.
Education:
Bachelor's Degree in Commerce, Accounting, Finance, or a related field.
Professional certification (CA Inter, CMA Inter, CPA, or equivalent) preferred but not required.
Experience:
Minimum 3–5 years of experience in Accounts Receivable / Finance, preferably in the hospitality industry.
At least 1–2 years in a senior accounting role handling receivables.
Technical Skills:
Strong knowledge of hotel accounting systems and accounts receivable procedures.
Proficiency in MS Excel and financial software (Opera PMS, SUN Systems, SAP, Tally, Oracle, etc.).
Familiarity with credit card reconciliation, billing cycles, and payment gateways.
Knowledge of local tax regulations, GST, and TDS (if applicable).
Excellent attention to detail and accuracy.
Strong analytical, problem-solving, and reconciliation skills.
Good communication and interpersonal abilities to interact with clients and internal departments.
Leadership and team management capability.
Ability to work under pressure and meet deadlines.
High level of integrity, confidentiality, and professionalism.
