Personal Assistant to Managing Director (MD)Key Responsibilities:

  • Calendar and Schedule Management:
  • Manage the MD's daily calendar and ensure the MD is prepared for meetings, appointments, and events.
  • Coordinate internal and external meetings, conferences, and calls.
  • Organize and prioritize the MD's time and tasks to meet critical deadlines.
  • Communication:
  • Serve as the primary point of contact between the MD and internal/external stakeholders.
  • Handle incoming phone calls, emails, and correspondence, and respond or redirect as appropriate.
  • Prepare and manage communication (letters, reports, presentations) on behalf of the MD.
  • Travel Arrangements:
  • Organize and book domestic and international travel, including flights, hotels, transportation, and itineraries.
  • Prepare travel documentation, including itineraries and briefing notes for the MD.
  • Meetings and Presentations:
  • Prepare materials for meetings, presentations, and reports.
  • Take notes and record meeting minutes when required.
  • Coordinate with relevant team members to ensure required resources and information are available for meetings.
  • Project Support:
  • Assist with the preparation and follow-up of key projects or initiatives being led by the MD.
  • Help with research, data gathering, and report preparation for various business needs.
  • Confidentiality and Documentation:
  • Maintain confidentiality in all dealings, particularly with sensitive company information.
  • Manage and organize important documents, contracts, and files for easy access and retrieval.
  • Office Administration:
  • Handle office supplies, maintain the MD's office environment, and ensure everything is in order.
  • Prepare and process invoices, purchase orders, and other office-related administrative tasks.
  • Event and Hospitality Management:
  • Organize company events, conferences, or team-building activities on behalf of the MD.
  • Oversee guest arrangements, including welcoming guests, arranging hospitality, etc.
  • Liaison with Executives and Staff:
  • Serve as a liaison between the MD and senior executives or staff members, ensuring smooth communication and information flow.
  • Provide assistance to other department heads or senior managers as needed, based on the MD's directives.

Skills and Qualifications:

  • Strong Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to interact at all levels of the organization.
  • Discretion and Confidentiality: Must handle sensitive information and situations with discretion and professionalism.
  • Proficiency in Office Software: Expertise in Microsoft Office Suite (Word, Excel, PowerPoint), email platforms, and calendar management tools.
  • Attention to Detail: Accuracy in preparing documents, reports, and scheduling.
  • Problem-Solving Skills: Ability to anticipate the MD's needs and resolve issues proactively.
  • Multitasking and Time Management: Ability to handle several tasks at once in a fast-paced environment.
  • Professionalism: A positive, proactive attitude, and the ability to maintain professionalism under pressure.

Experience:

  • Prior experience in an executive assistant or administrative role is usually preferred.

Job Types: Full-time, Permanent
