Role & responsibilities

  2. Procure reagents, consumables, calibrators, and controls from approved vendors only (ISO 15189:2022, Clause 6.3, AACI & NABH).

  3. Helping Quality Manger for supplier evaluation, re-evaluation, and approval records.

  4. Communicate with vendors for replacement of non-conforming or rejected materials.

  5. Quality System & NABL Compliance

  6. Support internal audits, surveillance audits, and NABL assessments by presenting purchase, stock, and storage records.

  7. Prepare Store Manual for storage, issue, and disposal.
  8. Report and document non-conformities, deviations, and corrective actions (ISO 15189:2022, Clause 8.7, AACI & NABH).
  9. Assist in risk management activities related to supply interruptions (ISO 15189:2022, Clause 8.5, AACI & NABH).

  10. Monitoring supplier performance and updating records.

  11. Inventory Control & Stock Management

  12. Ensure proper labelling of all items at the time of receipt, including details such as date of receipt, storage temperature, and other relevant information.

  13. Regularly monitor and maintain the cold storage room to ensure compliance with storage requirements.
  14. Coordinate and work in close collaboration with the laboratory team to support smooth operations.

  15. Maintain updated stock registers/logbooks/ERP system with:

  16. Item name

  17. Date of receipt
  18. Batch/lot number
  19. Expiry date

  20. Quantity received/issued

  21. Implement FEFO (First Expiry, First Out) and FIFO (First In, First Out) systems for all materials.

  22. Track minimum stock level, reorder level, and lead time to prevent stockouts.
  23. Conduct monthly/quarterly physical stock verification and report discrepancies.

  24. Ensure segregation of expired, damaged, or recalled materials with labelling NOT FOR USE."

  25. Storage & Environmental Monitoring

  26. Store materials as per manufacturer's instructions (temperature, humidity, light protection).

  27. Maintain refrigerated/freezer storage for temperature-sensitive reagents.
  28. Use calibrated monitoring devices (thermometers, hygrometers, data loggers).
  29. Record and review temperature/humidity logs daily.
  30. Immediately escalate if storage conditions deviate from the required

  31. Ensure segregated areas for flammable, hazardous, and expired items.

  32. Documentation & Record Control

  33. Prepare and maintain:

  34. Goods Receipt Note (GRN)

  35. Stock Register / ERP Entries
  36. Issue Slips for materials given to departments
  37. Non-conformance reports for damaged/rejected material

  38. Disposal Records for expired material

  39. Ensure all records are legible, signed, dated, and traceable (ISO 15189:2022, Clause 8.4, AACI & NABH).

  40. Retain records for the defined retention period as per NABL/quality manual.

  41. Safety, Waste, and Compliance

  42. Follow Material Safety Data Sheets (MSDS) for handling hazardous chemicals.

  43. Label all materials with item name, lot number, expiry date, hazard symbols (if applicable).
  44. Ensure safe handling, segregation, and disposal of expired/unused reagents as per Biomedical Waste Management Rules, 2016.
