Purpose of the job

The Freight Pay & Audit Analyst supports global transportation cost validation, dispute management, and payment processing across all transport modes (road, rail, ocean, and air). Initial operation focus will cover North America Domestic and NAM/EMEA ocean freight, with gradual expansion to global scope as processes transition.

This Specialist will work with Freight Forwarders Ocean Carriers, Railroads, and Truckers to prevent delays in invoice payment as well as having the opportunity to make an impact on harmonization of processes and procedures.

The analyst ensures invoices are accurate, compliant with contract rates, and processed on time while maintaining communication with vendor and internal stakeholders.

About the job (Job Responsibilities)

1. Invoice validation & processing

• Retrieve and validate freight invoices in SAP and other transportation platform.
• Compare invoiced charges against contracted rates, shipment data, and supporting documents.
• Resolve rate or data discrepancies using available records and tools.
• Where validation cannot be completed internally, coordinate with designated specialists or logistics teams for confirmation.
• Once approved, initiate payment instruction and process through relevant systems and workflows.

2. Dispute management & vendor communication

• Submit formal disputes to carriers via vendor portal or email when discrepancies are identified.
• Track and follow up on dispute resolution, maintaining detailed records of actions taken.
• If a vendor dispute is rejected or unsolved, escalate the case to the FP&A lead and logistics procurement for joint review.
• Respond to vendor inquiries regarding invoice status, payment details, and issue resolution.
• Act as focal point for vendor SOA/aging reports, reconciling open items and coordinating resolution across internal and external stakeholders.

We believe you bring (Education & Experience)

• 3-year accredited bachelor's degree in any discipline from a recognized college or university. preferred specialization - Supply Chain, Logistics, Accounting, or related field.
• 5+ years of experience working in Logistics Operations.
• Effective written and verbal communication in English; capable of managing global vendor & internal stakeholder interactions professionally according to the regional time zone requirements.
• Experience managing and working with global Freight Forwarders and Customs Brokers.
• Working knowledge of SAP, SAPTM, and Vendor Portals.
• Strong analytical and reconciliation skills, comfortable with Excel and report extraction.
• Detail-oriented with ability to verify data independently before escalation. Self-directed and able to work with minimal supervision.
